Summary Description:

The Civic and Social Impact Assistant will play a crucial role in supporting the Clayco Enterprise and Foundation’s donation tracking, fundraising efforts, and philanthropic giving. This position is responsible for providing administrative support focusing on database management, event planning, and donor cultivation.

The Assistant will update and maintain the fundraising and grants management system, communicate with requestors and awardees, enter new gifts and awards applicants into the system, keep recipients’ paperwork up to date, and assist with facilitating payments and tracking of donor commitments.

The successful candidate will work closely with the Executive Director and other team members to secure funding for the Enterprise and Foundation’s key initiatives, ensuring the sustainability and growth of the initiatives.

Responsibilities:

Grant Database Management and Reporting:

Enter and maintain data in the Clayco’s grants and giving management system (CyberGrants) to ensure the database is up-to-date and accurate, including recipient contact information, recent interactions, history, and notes;
Process and track payment requests and disbursements;
Troubleshoot issues pertaining to the gift/grant application portal;
Provide technical support to staff and recipients related to the gift/grants management system;
Process and track unsolicited requests and help manage Clayco’s response to general inquiries for funding;
Respond to letters, e-mails, and telephone calls requesting general information about gifts/grants and/or the status of an inquiry;
Assist with generating regular reports and analysis of giving patterns and fundraising trends in a timely manner;
Assist with other development-related activities as needed, including donor prospecting, and online fundraising initiatives;
Maintain an organized and up-to-date gift/grants calendar, tracking deadlines, and deliverables.

Event Planning:

Assist in the planning, organization, and execution of fundraising events, including donor appreciation events, and community engagement activities;
Aid in coordinating logistics, manage guest lists, track donors, and provide support during the events.

Donor Cultivation and Stewardship:

Assist in the development and implementation of strategies to identify and form new relationships with individual donors;
Support the cultivation and stewardship of current donor relationships through personalized correspondence, acknowledgments, and regular updates.

Other duties as assigned.

Qualifications:

Bachelor's degree in a related field (e.g., Nonprofit Management, Business Administration, etc.) or equivalent experience;
1-3 years of experience in fundraising, grantmaking and/or nonprofit administrative or development work;
Excellent written and verbal communication skills, with the ability to write compelling reports and donor communications;
Demonstrated ability to work independently and collaboratively in a team-oriented environment;
Highly organized, detail-oriented, and able to manage multiple projects simultaneously;
A team player with strong communication skills and a positive attitude;
Ability to track and consistently meet deadlines;
The ability to maintain confidentiality;
Proficiency with Microsoft Office;
Familiarity with CyberGrants or other grants management systems is preferred, but not required.
