CORE VALUES Strives for excellence Passionate about helping people Takes pride in their work Solutions oriented Respect for all people Essential Duties and Responsibilities: Event Management Work with the Director(s) of Philanthropy and committees in both markets to understand needs for each event, implement ideas and garner feedback for event success Compile and maintain list of prospective event locations, visit locations and provide guidance on final selection Compile price lists and negotiate contracts for dates, times, space, and services. Review all vendor contracts pertaining to events and ensure they are executed Ensure that events meet legal, safety, health and accessibility requirements and regulations; obtaining necessary permits from government agencies. Manage/ Lead planning and execution of all event activity within the philanthropy department Maintain event database and task list (i.e. Monday.com) Work with marketing department on Pre and Post event communications Manage marketing event deliverables, reviewing and updating as needed Track all event expenses and stay within set budget Work with Quest staff to plan and develop event schedule and run of show. Volunteer Management Build out and oversee the volunteer program Lead volunteer recruitment and management for philanthropy events and programmatic activities Lead logistics and execution of Holiday Home Adoption Program Spearhead volunteer appreciation, retention and stewardship efforts Education and/or Work Experience Requirements: Must possess a proven track record in in a responsible administrative role in a non-profit organization Must possess through understanding of legal regulations and permits required for events Possess excellent organization and administrative skills with intensive attention to detail Ability to multi-task ensuring accurate and timeliness of all deliverables Develop and maintain positive, congenial and professional relationships Communicate effectively through oral and written methods Responsible, flexible, hardworking, ethical and committed to the mission of Quest Be well versed and articulate in the mission being able to communication well with vendors, donors, community partners, and volunteers Physical Demands Must be able to stand and walk for long periods of time during events Must be able to lift up to 25 pounds at times Must be able to work a variety of hours in order accommodate events
