General Position Summary:
Provides day-to-day management of the assigned division in order to ensure adequate training, staffing levels, and efficient workflow. Ensures adequate coverage and coordination is provided to complete all contractual requirements, all other assigned tasks, and to maintain the quality of all work performed as well as the safety of all employees. Acts as a positive role model for others.
Essential Functions/Major Responsibilities:
- Acts as a positive role model for others.
- Assists Division Manager in developing and maintaining procedures designed to ensure efficient and cost-effective operations.
- Schedules personnel to ensure adequate and efficient coverage of all functions of the operations.
- Coordinates production activities with other departments as required to ensure efficient operation and effective utilization of company resources.
- Develops and maintains positive and professional relationships with customers and vendors.
- Collects daily production data using company-approvedmethods and tools, provides daily reports, input to the Division Manager on costs, trends, and areas in need of improvement.
- Monitors and directs shipping and/or receiving activities to ensure timely flow of raw and finished goods.
- Ensures all goods processed meet and/or exceed customer specifications.
- Maintains high level of knowledge of actual operation and safety of required equipment.
- Ensures representation at all Safety meetings, and that required documentation is completed and distributed to the proper personnel in a timely manner.
- Coordinates with appropriate staff and/or other resources to ensure workers are thoroughly trained in general safe work habits and safety to ensure a safe and clean work environment and that required documentation occurs.
- Manages division personnel through instruction, encouragement, and direction.
- Assists in developing personnel and equipment budgets for assigned area and makes recommendations for changes to Division Manager.
- Maintains inventory control of processed and unprocessed product, ensuring end-of-month inventory occurs on a timely basis, and proper order forms are turned into the Division Manager for purchasing of supplies for forthcoming jobs.
- Ensures required documentation is completed and routed properly in a timely manner.
Secondary Functions:
- Coordinates with Maintenance Division to ensure preventative maintenance schedules on all vehicle and equipmentare maintained.
- May perform duties of Division Manager in his/her absence or as assigned by the Division Manager.
- Ensures adequate coverage/back-up to other personnel as needed.
- May perform production duties same as subordinates as required.
- Provides support in coordination/prioritization during peak production periods.
- Ensures area goals are in line with Garten’s Mission, Vision, and Values.
- Attends meetings and participates on committees or teams as needed.
- Performs other related duties as assigned.
Job Scope:
Performs duties independently with minimal supervision; operates from specific and definite directions and instructions. Decisions are of a routine nature made within prescribed operating guidelines, policies, and procedures.
Responsible for providing input on long-range operational plans and may be asked to provide input on long-range strategic planning.
This position has a significant degree of impact on operations, revenue, and expenses. Mistakes and/or errors may impact current work, future work, inaccurate accounting, financial problems, failure to complete contractual requirements. This could lead to loss of profits and/or decrease credibility of company image.
Supervisory Responsibilities:
Directly supervises production personnel. This responsibility includes employee evaluation, counseling and/or discipline, approving any absences and overtime, and making recommendations for hiring, terminations, pay changes, job changes, and training.
Interpersonal Contacts:
Has both internal and external contacts regularly. The most common internal contacts are with our own division staff, supervisor, and Program Services staff. The most frequent external contact is with the public. The types of interactions, both internal and external, involve problem-solving, negotiation, information exchange, and experience sharing.
Both internal and external contacts are frequently made at the employee’s own initiative with 20% of the contacts over the telephone and 80% face to face. At least 20% of all contacts are with external customers while 80% are internal customers. Contacts may contain confidential/sensitive information.
Specific Job Skills Required:

- Ability to obtain and maintain certification as a forklift trainer.
- Valid drivers’ license, proof of current vehicle insurance, and acceptable driving record
- Ability to bend, stoop, twist, stand, walk, see, hear, and use pallet jacks and hand trucks needed in order to demonstrate and train proper methods.
- Ability to push/pull up to 1,000# with a pallet jack and to lift/carry up to 40# in order to demonstrate and train proper methods of use.
- Ability to occasionally assist in the production area if necessary.
Education and/or Experience Required:
- Minimum of 1 year supervisory experience
- Minimum of 2-4 years experience in a production setting, with preference given to those with a background in manufacturing and customer relations.
- High school education or equivalent
- A 2-year degree in business, communication, or other related field is preferred.
Job Conditions:
This position requires the incumbent to work in an environment where there may be exposure to building temperature fluctuations, fumes, dust, odors, poor light, poor ventilation, chemicals, and dirt. Other working conditions may include:
Frequent interruptions; deadlines; occasional operation of heavy equipment; working extended hours during peak periods; disagreeable contacts (i.e., aggressive/agitated individuals); frequent exposure to a computer monitor.
