Position Summary:
Reports to: Charitable Foundation ManagerCharitable Foundation Manager
Collaborates with: Academic team, Head of Learning Support, Head of School, Admissions
The Program Coordinator plays a key role in supporting the Foundation’s scholarship programs. This position ensures smooth communication with families, accurate data collection, timely reporting, and strong support for donor-related activities and events.
As the program expands, some responsibilities may evolve.
We are looking for someone who is comfortable with growth, development, and continuous improvement.
Full time, hybrid model (offline +online)
Key Responsibilities:
1. Program Operations & Family Communication
- Lead the re-enrollment process: collect and verify information from families, arrange and conduct meetings.
- Ensure all required documents are completed and archived properly.
- Organize regular check-ins with scholars to gather updates on their progress, achievements, and overall well-being.
2. Reporting
- Collect data from the academic team, parents and children for regular program reports.
- Prepare and maintain reports for donors, summarizing student progress and outcomes.
- Keep all scholarship-related databases and spreadsheets accurate and up to date.
3. Donor & Event Support
- Assist in organizing events and meetings for donors.
- Maintain an updated content plan for donor communications.
- Support preparation of content for donor newsletters and social media posts (stories, updates, highlights).
Requirements
- Strong communication and interpersonal skills.
- Excellent command of Excel / Google Sheets and document management.
- Attention to detail, reliability, and strong organizational skills.
- Fluent English (required); Russian or Greek is an advantage.
- Experience in education, NGOs, administration, or program coordination is a plus.
