The Receptionist for the Catholic Charities Maine Front Desk is the welcoming face and voice of Central Services. This position provides professional, friendly, and attentive reception support for all incoming calls and visitors, while also offering administrative assistance across all Central Services departments.
This role is ideal for someone who genuinely enjoys helping people, thrives in both quiet and busy environments, and takes pride in creating a safe, warm, and organized front desk experience.
This position will begin in Portland (downtown) from March through September 2026 as a Part Time 1 role (under 20 hours per week, on-call) and will transition in October 2026 to Lewiston at the Priory attached to the Basilica, with the potential to move into a Part Time 2 role (20–29 hours per week) on a regular, flexible schedule; office hours in both locations are Monday through Friday from 8:00 a.m. to 4:30 p.m., with a half-hour lunch.
Key Responsibilities
- Greet all visitors, staff, volunteers, and guests with a joyful, cheerful, and professional demeanor
- Answer and route incoming phone calls and emails
- Maintain front desk safety and security by being alert to who is coming and going
- Provide administrative support to Central Services departments
- Process daily mail and create the daily check log
- Perform data entry, scanning, and filing (including Excel-based tasks)
- Handle confidential and sensitive information with discretion
- Work independently during quieter periods and manage high-volume activity during busy times
- Assist with Volunteer Service

QualificationsRequired Qualifications
- High School Diploma or equivalent
- Minimum of two (2) years’ experience in a responsible administrative or reception role
- Demonstrated ability to handle confidential and sensitive information
- Strong customer service skills
- Proven accuracy with detail-oriented work
- Ability to multitask and shift between varying responsibilities
- Proficiency in Microsoft Word and Excel (Excel data entry required)
- Comfort with scanning and other office software systems
- Strong focus on data entry and accuracy
