Job Summary
The Donor Stewardship Specialist is an integral member of a team-oriented, results-driven Resource Development department. Reporting to the Vice President of Philanthropy, this role proactively manages and enhances all aspects of the donor experience for Boys & Girls Clubs of Greater Northwest Indiana stakeholders. Responsibilities include creating and overseeing systems that maintain and improve donor engagement, recognition, and stewardship.
The Specialist will bring a strong donor and customer service background, experience with a variety of fundraising campaigns, and technical expertise in donation management and data entry. This role requires strong written and verbal communication skills, engaging interpersonal abilities, and a collaborative mindset to ensure the highest levels of donor support and retention.
Key Responsibilities
Donor Database, Communication, Recognition & Campaign Support
- Ensure all materials and information are prepared for the successful planning and execution of donor engagement activities on the master calendar.
- Monitor, review, and update donor records to ensure accuracy and accessibility for engagement planning.
- Maintain and back up the donor database, including gift processing, data entry, acknowledgments, receipts, and reporting.
- Manage gift acknowledgment processes, including tribute and memorial giving.
- Design and implement a comprehensive donor relations and stewardship program focused on retention, engagement, and growth, including seasonal mailings and welcome series.
- Maintain giving societies and recognition programs, including Legacy Builders Society, Heritage Society, alumni groups, Clubhouse Heroes, and annual report listings.
- Manage monthly giving and peer-to-peer campaigns.
- Support annual appeals, including campaign planning, execution, and performance reporting.
- Respond to donor inquiries and resolve concerns related to gifts, receipts, and recognition.
- Produce quarterly board give-or-get reports and distribute internally.
- Maintain regular communication with vendors, volunteers, stakeholders, and partners.
- Support vendor relations, including processing payments and tracking budgets.
- Perform additional duties as assigned.
QualificationsQualifications
- Bachelor’s degree from an accredited institution.
- Minimum of three (3) years of professional fundraising and/or customer service experience, preferably in a nonprofit setting.

- Experience with donor databases and business systems; strong proficiency in Microsoft Office 365 (Word, Excel, Outlook).
- Exceptional organizational skills with the ability to manage multiple tasks and workflows.
- Highly detail-oriented, collaborative, resourceful, and able to work independently at a high level.
- Strong interpersonal skills and ability to engage in crucial conversations, offering recommendations and solutions.
- Outstanding customer service skills with the ability to build and maintain strong relationships.
- Ability to prioritize, manage, and execute multiple assignments simultaneously in a fast-paced, evolving environment.
- Excellent written and verbal communication skills, including strong proofreading and editing abilities.
