DescriptionJob Description: The Administrative Assistant provides receptionist and administrative support duties of moderate complexity for the Chief Operating Officer and the Executive Team. The ideal candidate will have an understanding of confidentiality, knowledge of Microsoft Office and proficiency with computer applications along with excellent customer service experience. Some duties of the role include but are not limited to greeting visitors, answering phones, managing calendar, effectively communicating via phone and email, filing, scanning, copying, preparing and editing documents using independent judgment in content and style, and managing tasks associated with various projects.
What you'll be doing:
- Perform receptionist duties, acknowledging and assisting clients, visitors, vendors, etc.
- Answer phones, route calls, take message for staff.
- Communicate with staff regarding clients and visitors.
- Perform administrative tasks such as typing, scanning, faxing, data entry and filing.
- Organize documents and electronic information, including retrieving and sorting mail, sharing and sorting documents, etc.
- Take meeting minutes, assist with creating agendas and other written communications, taken verbally from administrator.
- Schedule/reschedule interviews, community stakeholder meetings, staff meetings, and occasionally special events like retreats, team events and luncheons, etc.
- Run monthly and quarterly reports in the electronic health record (EHR) and assist with analyzing data.
- Handle or delegate client complaints and investigations.
- Proofread, edit, and create important documents and emails.
- Perform research on community events, as needed, to include topics/information required.
- Complete other duties as assigned.

- Excellent verbal and written communication skills
- Good organizational and documentation skills
- Working knowledge of Microsoft Office applications
- Knowledge and proficiency with computer applications
- Customer service experience
