Office Administration Intern – Job Description (Christian Nonprofit)
Reports To: Office Manager / State Director
Location: Richmond, VA (State Office)
FLSA Status: Non‑Exempt, Internship, Temporary
Schedule: Part‑time, 10–30hours per week (flexible based on academic schedule)
Position Summary
The temporary Office Administration position provides administrative, organizational, and project-based support to the State office. This role is ideal for a student or early‑career professional seeking hands‑on experience in nonprofit operations, office administration, and ministry support in efforts to advance the mission of Child Evangelism Fellowship of Virginia, Inc.
Key Responsibilities
Administrative Support
- Support the development and maintenance of organized office systems, including filing, scanning, and document management
- Assist in the implementation of a new Customer Relation Management (CRM) system; limited to data entry, reporting, and tracking tools
- Prepare mailings, packets, and printed materials for events and ministry programs
- Answer phones, greet visitors, and provide general office hospitality
Communications & Coordination
- Draft simple correspondence, reminders, and follow-up emails as directed
- Assist with scheduling, calendar coordination, and meeting preparation
- Help maintain accurate donor contact lists, volunteer records, and distribution lists withing the new CRM
Event & Ministry Support
- Prepare materials for trainings, meetings, and ministry events
- Assist with logistics such as room setup, sign in sheets, name tags, and supplies
- Support donor mailings, thank you letters, and event follow-up tasks
Special Projects
- Contribute to ongoing administrative improvement projects
- Assist with organizing digital files and improving workflow systems
- Support staff with research, documentation, or project tasks as assigned
Qualifications
- Believe and sign the CEF Statement of Faith and Ministry Compliance Agreement
- Alignment with the mission and values of Child Evangelism Fellowship
- Interest in nonprofit management, ministry operations, or administrative work
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and follow written and verbal instructions accurately
- Excellent written and verbal communication skills
- Detail-oriented with a proactive attitude
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Familiarity with spreadsheets, databases, or digital filing systems
- Ability to maintain confidentiality and handle sensitive information
- Experience in an office, administrative, or customer service environment
- Interest in nonprofit management, ministry operations, or administrative work

Work Environment
- Ability to lift (up to 50 lbs.), transport, and stock assigned supplies and materials, occasionally requiring overhead or below-the-waist positioning.
- Ability to climb step ladders to reach overhead fixtures, supplies, and high-placed work materials.
- While performing the duties of this job, the employee is frequently required to sit for long periods at a desk and work on a computer terminal.
- This role is based in an office location that does not have wheelchair accessible entry or interior pathways.

Child Evangelism Fellowship (CEF) of Virginia is a church-assist organization focused on evangelizing and teaching children ages 4-14. Simply stated, CEF Virginia trains ministry teams who volunteer to conduct evangelistic events usually outside the church walls. Child Evangelism Fellowship of Virginia serves churches and individuals by equipping them to fulfill the great commission. We help them to be an ambassador for Christ, equipping them to reconcile the lost with the message of the gospel.
CEF Virginia serves all of the state chapters throughout Virginia. We have several different ministries for children such as the Good News Club, 5-Day Club and CYIA. We host several events through these ministries thereby serving the churches with proven children’s ministry training, materials and methods. This in turn allows us to lead the chapter communities in evangelizing children
