BCIU
promotes international understanding and expands global trade and commerce
through a combination of dialogue and action. We organize meetings, panel
discussions and off -the -record briefings between business executives and senior
government officials, heads of state, chiefs of government, cabinet ministers,
senior officials of multilateral and international organizations, and subject
matter experts. We drive impact by understanding the priorities of the
governments and businesses that we work with, and tailor our initiatives to
address and overcome global challenges as well as fulfill ambitious objectives.

The
Coordinator, Finance and Gala will work as an integral member of the Finance
team, based at BCIU's New York headquarters, to provide critical accounting,
administrative operations support, and event management responsibilities, with
a particular focus on the successful planning and execution of BCIU's Annual
Dwight D. Eisenhower Global Awards Gala, which honors and celebrates global
leadership and is responsible for over 20% of the entire organization's annual
budget. This full -time position offers an opportunity to engage in the
financial and operational backbone of the organization at the intersection of
international business and diplomacy. The Coordinator will report to the
Director, Finance and Information Technology.

Responsibilities<\/span><\/u><\/b>
<\/p>
Accounting and Finance Support<\/b>
<\/p>
• <\/span><\/span>Ensure accurate and timely database entry of financial
information.
<\/p>
• <\/span><\/span>Support Accounts Receivable by generating and issuing
invoices, processing payments, and assisting in collections.
<\/p>
• <\/span><\/span>Manage Accounts Payable by recording vendor bills and
monitoring payment schedules.
<\/p>
• <\/span><\/span>Verify and record employees' expense reports and petty
cash transactions.
<\/p>
• <\/span><\/span>Maintain and organize electronic files of all
accounting -related documents.
<\/p>
• <\/span><\/span>Serve as the primary liaison between staff with the
Finance team to ensure workflow efficiency and deadline adherence.
<\/p>
Gala Coordination<\/b>
<\/p>
• <\/span><\/span>Work closely with the gala project team to achieve the
organization's objectives for the Annual Eisenhower Award Gala.
<\/p>
• <\/span><\/span>Coordinate between business units, working group and
external consultants to support successful Gala implementation.
<\/p>
• <\/span><\/span>Conduct research on confirmed and potential honorees,
to support participant and purchaser prospecting.
<\/p>
• <\/span><\/span>Manage the accuracy and timeliness of Gala -related
database entries.
<\/p>
• <\/span><\/span>Assist with the development and execution of Gala
promotion plans.
<\/p>
• <\/span><\/span>Support sales outreach efforts and follow -up
communications.
<\/p>
• <\/span><\/span>Coordinate invitations, follow -up communication, and
participation tracking of government officials.
<\/p>
• <\/span><\/span>Contribute to the creation and proofing of all
gala -related collateral.
<\/p>
• <\/span><\/span>Support site visits, logistics, and execution for
on -site, virtual, or hybrid gala events.
<\/p>
• <\/span><\/span>Assist with all event close -out procedures and
post -event follow -up.
<\/p>
Administration and Office Operations<\/b>
<\/p>
• <\/span><\/span>Provide technical support to staff in the absence of
the Director, Finance and Information Technology.
<\/p>
• <\/span><\/span>Support guest relations at the New York office.
<\/p>
• <\/span><\/span>Manage office supply storage, inventory, and
replenishment needs in the New York and DC offices.
<\/p>
• <\/span><\/span>Ensure the upkeep and organization of common areas and
shared spaces.
<\/p>
• <\/span><\/span>Assist team members with administrative support during
high -volume periods to ensure smooth and efficient execution.
<\/p>
• <\/span><\/span>Perform additional duties, as assigned, to support the
overall success of the organization.

• <\/span><\/span>Bachelor's degree in accounting, finance or related
field.
<\/p>
• <\/span><\/span>Expertise in QuickBooks Online, Microsoft Office, CRM
systems, and high ease with new software.
<\/p>
• <\/span><\/span>Knowledge of bookkeeping and accounting best practices,
laws, standards, and state/national regulations and Generally Accepted
Accounting Principles (GAAP) and New York State not for profit regulations.
<\/p>
• <\/span><\/span>Strong aptitude for numbers, spreadsheets, and
financial reports.
<\/p>
• <\/span><\/span>High attention to detail, outstanding organizational
skills, and the ability to manage multiple priorities and meet deadlines while
monitoring and documenting progress.
<\/p>
• <\/span><\/span>Exceptional integrity and discretion in handling
sensitive and confidential financial information.
<\/p>
• <\/span><\/span>Ability to create and foster strong working
relationships with colleagues and external partners.

capabilities on a variety of areas (countries, regions, global organizations,
sectors).

execution of large -scale galas or fundraising events.

• <\/span><\/span>Graphic design or marketing collateral proofing skills.
