The Coordinator of Philanthropic Engagement is a professional committed to providing administrative assistance at the highest level and serves a key role in the team’s efforts to meet annual, capital, and endowment fundraising goals. The Coordinator’s primary responsibilities are supporting the VP of Philanthropic Engagement and the transformational giving team and serving as the office manager performing a wide variety of administrative functions and customer service interactions that facilitate sustained private gift support to Pine Crest School.

Supports the School’s mission statement and the philosophy of the department and adheres to School policies and procedures, including but not limited to what is outlined in the Employee Handbook

Maintains the Office of Philanthropic Engagement calendar of communications, solicitations, events, and stewardship

Provides superior customer service and serves as a front-line ambassador to facilitate prompt, accurate, and complete follow-up for visitors, volunteers, donors, and alumni via face-to-face interactions, telephone calls, correspondence, and online queries

Assists in the planning, preparation, and facilitation of events and fundraising activities

Assists in and works with the Manager of Donor Relations and Communications and transformational giving team to provide meaningful stewardship to donors of philanthropic gifts at the highest level

Maintains an accurate record to ensure a balanced Office of Philanthropic Engagement Budget

Coordinates operations for the Office of Philanthropic Engagement, including maintaining office supply inventory, addressing technology and facility needs, purchase orders, and facility requests

Records gifts in the Daily Gift Log for auditing purposes

Assists with maintaining current and accurate constituent information and records

Utilizes databases, fundraising, donor development, and event software to perform duties; learns new programs as applicable

Follows up regularly on work to ensure accuracy and completion; continuously shifts priorities with the workload as needed; balances time management

Provides backup support to the Office of the President as needed

Proficiently works as an emergent leader, respected when serving as the team leader and as a team member

Passionate and proactive in learning best practices to strengthen personal performance and Philanthropic Engagement programs
