Reporting to the Executive Director of Gift Planning, provide high-level administrative assistance to the offices of Gift Planning (GP) and Corporate and Foundation Philanthropy (CFP), within University Advancement (UA).
Review, prioritize, and resolve incoming requests and ongoing daily short and long-term projects on behalf of two teams of development professionals. Work in a collaborative environment with a team of specialized administrative professionals to support the division’s fundraising efforts and priorities.

Position Specific Responsibilities
General Administrative Duties (60%)
- Make appointments and manage schedules, prepare meeting agendas, respond to and relay telephone and email communications, and monitor departmental email accounts.
- Generate and maintain/update donor lists/reports, proposals, gift transmittal forms, and other written and electronic correspondence.
- Create and maintain spreadsheets, expense reports, briefings, meeting presentations, meeting notes, mailing lists, welcome packets, etc.
- Create and maintain accurate revenue pipeline and report tracking documents, database records, and digital files/filing systems.
- Assist with new prospect research, including identifying new potential donors/funders, vetting guidelines, tracking information about giving and focus areas.
- Work closely with Finance, Controller's Office, Office for Research and Sponsored Projects and other LMU Departments.
Marketing and Communications (10%)
- Coordinate annual marketing schedules for GP with internal marketing & communication staff and outside vendor (for emails, brochures, postcards).
- Request mailing lists from database staff and upload documents to cloud-based storage applications.
- Create/maintain central database of stories, quotes, and photos to share with donors/prospects (via print, electronic).
- Coordinate and communicate website updates.
Donor Visits & Stewardship (10%)
- Assist in donor-related activity planning, including creation of donor briefings, planning, and executing donor/prospect site visits/events, assist in the preparation of presentations, and prepare/send meeting agendas.
- Coordinate weekly, monthly, and annual meetings/retreats.
Perform other duties as assigned. (20%)

Requisite Qualifications
Typically, a Bachelor’s Degree in a related field or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of trends and technology.
Minimum four years of administrative support experience in progressively responsible positions. Seeking professionals with varied backgrounds, abilities, experience, thoughts, and ideas.
Proven ability to multi-task, effectively manage deadlines and overlapping priorities.
Excellent communication skills utilized in communication with internal and external constituents.
Commitment to confidentiality as it relates to sensitive information regarding donors and prospects.
Knowledge of, and competence with, web-based and application-based work.
Demonstrated computer competency and strong working knowledgeable of Word, Excel, PowerPoint, and Outlook. Knowledge of the Advance system and CMS are preferred. Ability to learn new systems. Experience with Smartsheet, and Workday and graphic design are a plus.

Reasonable Expected Salary: $25.00 - $26.44/hour
