Since its founding in 1972, Interfaith Works (IW) has provided extensive wraparound services to the most vulnerable residents of Montgomery County, Maryland. Our 14 interrelated and co-located programs prevent individuals from falling through the safety net, stabilize housing and financial circumstances, and empower individuals and families to lift themselves out of poverty and homelessness. Our team of 190 professionals administer programs that include emergency financial assistance, distribution of free food and clothing, vocational services, and a complete continuum of housing. Using our Lift Strategy: Prevent, Stabilize, and Empower, we support more than 35,000 individuals annually.
POSITION SUMMARY
The Vocational Services Administrator provides administrative support for the Vocational Services Program (VSP).
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Follow established workflows and documentation procedures to maintain client metrics for reports for BHC/HERC grant.
- Scan, label, and organize BHC enrollment packages.
- Upload electronic files according to grant requirements.
- Maintain accurate and organized digital and paper program records.
- Create flyers for departmental events.
- Update client files/updates in Dynamics, as needed.
- Serve as the backup to the Volunteer Coordinator email inbox.
- Manage the HERC email inbox, escalating requests as necessary.
- Assist with scheduling, coordination, and follow-up with vocational program participants and partners.
- Take notes during site visits and meetings when accompanying leadership.
- Assist the Director of Vocational Services Program with administrative tasks.
- Maintain enrollment lists and internal tracking tools.
- Maintain documentation for in-kind donations.
- Follow written instructions and compliance checklists.
- Assist with laptop and device setup for program participants.
- Support basic IT tasks including software installation.
- Document completed technology setups.
- Use translation tools to support non-English-speaking participants.
- Assist with program forms, flyers, design business cards for clients, and surveys.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- High School Diploma or GED
- Able to maintain a high level of integrity and discretion in handling confidential information
- Proven ability to adapt to various competing demands and demonstrate the highest level of customer/client service and response
- Strong organizational skills that reflect an ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with colleagues
- Strong written and verbal communication skills
- Demonstrable experience supporting organizational leadership
- Experience with Microsoft Office (Outlook, Word, Excel, and PowerPoint) and an ability to design and edit graphic presentations and materials using cloud-based publishing software (i.e., Canva)
- Must have access to reliable, personal transportation
