About the role:
Under the leadership and direction of the Program
Coordinator, and in collaboration with program staff, the Program Assistant
will provide direct, hands-on support in the daily operations of programs and
services. This role focuses on assisting staff
and clients in a variety of tasks, ensuring smooth delivery of services and
program activities. The ideal candidate will be detail-oriented, proactive, and
ready to assist with a
range of service delivery tasks in a dynamic, client-focused environment.
In this role, you will:
- Provide
logistical support to clients during program and service delivery,
including helping them with basic tasks and navigation of the space and
paperwork
- Assist clients
with basic tasks like checking in, directing them to appropriate resources
or staff, and answering simple inquiries
- Offer
on-site assistance to
clients as they engage with the program
- Ensure
clients feel welcomed and supported by offering a friendly and helpful
presence
- Assist with
the setup and organization of program space and materials for events or
activities, such as workshops, orientation sessions, or community meetings
- Help
clean up and organize after events, returning spaces to their original
condition
- Provide
support to the team which may include data entry, file organization, and
basic documentation tasks
- Assist with
the collection of basic feedback from clients after events or activities
to inform program improvements
- Provide
general assistance to
the program team as needed, helping with tasks that support the overall
function of the program
- Help maintain a
welcoming, inclusive clean, and organized environment for clients and
staff
- Support
the team with recruitment and promotion efforts
Education and skills qualifications:
- Strong
attention to detail, organizational skills, and the ability to manage
multiple competing deadlines and tasks
- Ability
to present information clearly and concisely
- Excellent
interpersonal and communication skills, with a respectful and inclusive
approach to working with clients, coworkers, and partners
- Demonstrated
active listening and problem-solving
- Cooperative,
adaptable, and positive team player
- Advanced proficiency in
Microsoft Office (e.g., Publisher, Excel, Word, Office 365 apps, etc.)
- Ability
to maintain confidentiality
and appropriate boundaries with
client
- Capacity
to thrive in a fast-paced environment with varying situations
- Ability
to create welcoming, safe, and inclusive program environments
- Experience
working with diverse communities, youth, seniors, or newcomers (an asset)
- Additional
Language is an asset.
