To successfully execute our strategies and prepare for our events, the Executive Assistant serves as the administrative hub of the Marketing, Communications and Philanthropy Departments and performs integral functions as directed by EVP.

EXECUTIVE ASSISTANT TO EVP/CHIEF MARKETING & BUSINESS RELATIONSHIP OFFICER
SUPPORTING MARKETING, COMMUNICATIONS, PHILANTHROPY DEPARTMENTS
FULL-TIME & IN-PERSON, WILLIAMSPORT, PENNSYLVANIA-BASED POSITION – HYBRID ELIGIBLE
Little League® International is seeking an experienced professional Executive Assistant reporting directly to the EVP/Chief Marketing & Business Relationship Officer and supporting Little League’s Marketing, Communications and Philanthropy departments at our headquarters location in Williamsport, Pennsylvania. This is a full-time non-exempt position which typically follows normal business hours, Monday – Friday. This position provides a competitive salary based on skills, education, and experience with a full-time benefits package. Candidates should live within commuting distance to Williamsport, Pennsylvania, 17701, or be willing to relocate. Relocation assistance is provided.

A DAY IN THE LIFE OF AN EXECUTIVE ASSISTANT TO THE EVP/CHIEF MARKETING & BUSINESS RELATIONSHIP OFFICER AT LITTLE LEAGUE INTERNATIONAL
The Executive Assistant will spend their day prioritizing while creating department documents, generating reports, emails, and presentations as well as maintaining schedules, coordinating meetings, and assisting the EVP/Chief Marketing & Business Relationship Officer with all aspects of department and organizational projects. They will work diligently to support the Marketing, Communications, and Philanthropy departments and develop systems and processes to keep the company running smoothly.
DUTIES MAY INCLUDE:
- Serve as the administrative hub of the Marketing, Communications and Philanthropy Departments and perform duties as directed by EVP including but not limited to:
- Answering phones; drafting and responding to emails; organizing files; creating and editing documents; creating reports; scheduling meetings and video conferences across multiple time zones; managing the calendar; arranging travel itineraries; and managing other essential tasks.
- Compose, prepare, edit, and distribute agendas, documents, meeting notes and reports.
- Create and edit presentations.
- Answer phone and email inquiries for partnerships and business relationships.
- Create and organize spreadsheets and other tracking documents.
- Assist with planning meetings and events as well as special guest visits.
- Participate in meetings with partners, serving as notetaker.
- Maintain files and records.
- This role will manage meeting scheduling (both internal and external), agenda creation, and meeting notetaking, providing details to department staff and supervisor, in addition to miscellaneous tasks assigned by the EVP. Event management participation and assistance will also be required for meetings and spectator events.
- Prepare letters, memos, reports, spreadsheets, and other documents using MS Office.
- Conducts research on behalf of marketing and philanthropy team.
- Assists philanthropy team with:
- The tracking of donations
- Prepares letters of recognition and appreciation for donations and
- Maintains record keeping in alignment with finance department.
- Supports implementation and tracking of social impact programs.
- Provides tracking summaries for annual reporting of philanthropic efforts.
- Work with Partnerships:
- To create and edit various documents including PowerPoint presentations, excel spreadsheets and other presentation documents.
- Track and organize key information for partnerships.
- Manage files on business partnerships.
- Organize business meetings, itineraries, travels schedules and other hospitality arrangements
- Research companies, pull reports, photographs, statistics and other key information for special projects and sponsor and licensee prospecting.
- Assist with the implementation and management of licensee tracking, artwork approvals and contract management using licensing software.
- Assist in the event preparation and management of key events.
- Engage in special in-person and virtual event planning (e.g., client meetings and events).
- Arrange travel arrangements and hotel accommodations for EVP, department staff and key client facilitation during special events and process expenses outside of individual expense reports.
- Manage ticket and hospitality arrangements for department special guests.
- Plan itineraries for sponsors and special guests.
- Assist with responding to marketing requests from various constituents including local league volunteers, families, and public inquiries.
- Assist with coordination of special marketing projects ensuring that deadlines are met.
- Assist with the organization of onboarding of new department hires.
- File and organize EVP and department files as requested.
- Maintain office supplies for department as requested.
- Perform other duties as assigned including assistance during the World Series.
- Recommend potential process changes and technology software that may help to create more efficiency with processes including project management, donation tracking, automated notetaking, task assignments and more.
- Perform all other duties as assigned by the EVP/Chief Marketing & Business Relationship Officer.
WHAT YOU WILL NEED- MINIMUM EDUCATION, EXPERIENCE AND QUALIFICATIONS:
- A minimum of 4-8 years’ administrative experience in a professional office environment with 2+ years in an administrative role reporting directly to senior or C-level management.
- Associate degree in Business, Administration, Marketing, Communications, or related field of study or additional two years’ experience in lieu of degree.
- Previous experience in a similar role
- Proficiency and knowledge of marketing, communications, philanthropy, or event management.
- Strong technology and trouble-shooting skills (computer).
- Advanced knowledge and proficiency of MS Office, specifically Outlook, Word, Excel, and PowerPoint,
- Demonstrated proficiency in learning a specialty software, a plus.
- Excellent keyboarding skills with minimum 60 WPM with accuracy a must.
- Ability to prioritize a high workload.
- Strong organizational skills and ability to multi-task in a fast-paced sometimes challenging environment.
- Excellent communication skills, oral and written, with the ability to create accurate and competent documents/reports and to communicate with many different levels.
- High level of professionalism with the ability to build and maintain strong relationships and collaboration skills.
- Strong attention to detail, including proper spelling, grammar, and professional language.
- Ability to work independently and take initiative to accomplish goals and deadlines.
- Excellent customer service skills and possess a relatable, approachable, and enthusiastic personality.
- Demonstrate a strong sense of urgency and the ability to work with time sensitive deadlines.
- This role may manage topics, documents and preparations of a confidential nature and discretion will be required.
- Maintain a calm and professional demeanor with an approachable style.
PREFERRED QUALIFICATIONS THAT WILL SET YOU ABOVE:
- Previous experience working with C-suite executives preferred.
- Previous experience working in a Marketing and/or Communications Department
- Knowledge of photoshop, illustrator or other creative applications a plus but not required.
- Experience in event management
