We are looking for a Senior Executive Assistant to provide top-notch support to our CEO and SVP of Strategy, Programs, and Partnerships during maternity leave, starting in early April 2024 and extending through late October 2024.
What You Will Do
Support for the Chief Executive Officer (75%)
Calendar Management:
- Coordinate the CEO's calendar across international time zones.
- Schedule and prioritize meetings, ensuring efficient use of time.
- Maintain awareness of the CEO's availability and preferences. Partner with the Chief of Staff to ensure that the CEO has a balance of priority meetings and independent work time.
Administrative Support:
- Collaborate with the Chief of Staff to prepare weekly reports that outline the CEO's meetings, briefs, and priority projects.
- Support CEO and Chief of Staff on special projects and work streams.
- Collaborate cross-functionally and support CEO relationship-building across the team.
- Foster an inclusive and intersectional atmosphere and culture within the organization.
Travel Coordination and Expense Reporting:
- Assist in coordinating travel arrangements for the CEO, including booking flights, hotels, and local transportation.
- Provide detailed agendas and itineraries for business trips.
- Manage expense reporting for CEO's business travel, ensuring accuracy and compliance with company policies.
- Arrange passport and visa requirements when necessary.
Support for the SVP, Partnerships & Company Programs (25%)
Calendar Management and Administrative Support:
- Maintain calendar and schedule meetings (internal and external) for SVP
- Manage expense management for SVP.
- Coordinate event logistics, including hotel reservations, conference registrations, and bio updates.
- Provide occasional documentation support, such as phone bill statements, missing Ramp documentation, and offsite information.
