The Grants team develops, grows, and coordinates grant partner relationships to increase revenue to support Hire Heroes USA’s programs and services. The Grants Coordinator has a broad knowledge of program and process management, sharp communication skills, and excellent attention to detail, resulting in proactive management and coordination of the award to close-out part of the grant life-cycle process. Additionally, the Grants Coordinator assists with other development functions as needed.
The Grants Coordinator is an internal and external compliance point of contact, assisting in ensuring conformity with policies, processes, and guidelines of government agencies, corporate and foundation funders, and other funding entities as well as with the policies and procedures of Hire Heroes USA itself. The position plays a role in data collection and reporting, tracking progress toward deliverables, outcomes, and grant-funded financial expenditures. This position reports to the Grants Manager.
This is a full-time, remote position.Responsibilities
- Documents policies and procedures related to specific grant awards.
- Establishes spreadsheets for the purposes of organizing data and for budget tracking. Maintains budget and performance tracking tools for use by program and operations staff as well as grant managers and directors.
- Assists in monitoring the timely expenditure of funds and alerts the Grants Manager to discrepancies and concerns.
- Collects data from other departments and maintains data and documents necessary for grant management, auditing, and reporting
- Maintains a deadline-driven calendar of report and compliance deliverables and proactively communicates upcoming deadlines in Salesforce and other tracking documents to necessary team members
- Maintains ongoing updates and communications related to current contracts, awards, and grants
- Assists in the development and writing of reports and stewardship communications with funders, ensuring all report and contract deadlines are met
- Responds to external requests regarding information necessary to complete reports, stewardship communications, and funder histories
- Assists with closeout of grants and contracts
- Cross-trains with the Grants Proposal Coordinator, engaging in occasional proposal development or prospect research as necessary, and assisting in other development-related tasks as assigned
Desired Skills & Qualifications
- Bachelor’s degree or equivalent professional experience
- At least 2 years of experience working in development/operations/administration at a not-for-profit organization strongly preferred
- Excellent verbal and written communication skills
- Salesforce Nonprofit Experience highly preferred
- High degree of discretion in dealing with confidential information
- Ability to develop productive relationships across departments
- Exceptional organizational skills and the ability to work under pressure
- Ability to work independently or as a member of a team, while productively engaging with varying levels of seniority within and outside Hire Heroes USA
- Ability to manage competing priorities and multiple projects and initiatives at one time

Estimated New Hire Salary: $44,750 - $50,403 annually
Hire Heroes USA may offer additional compensation to include annual bonuses, merit increases, cost of living, special or extra assignments outside scope of the role, cell phone stipend, internet stipend, relocation, awards, compensatory time off, overtime, and gaining knowledge and proficiency through certifications and licensing.
