We are in search of an Administrative Assistant for a Museum located in Chicago, IL. This is a Full Time, Hybrid, Temporary Assignment.

POSITION TITLE: Administrative Assistant
SCHEDULE: Full Time (40 hrs./wk.); Hybrid
DURATION: Temporary (~ end of June)
ANNUAL SALARY: $18.75-23.10/hr DOE
Is This Your Dream Position? As the Administrative Assistant, you'll provide administrative, production, event support, and coordination for Public Programs and Interpretation, as well as assist with departmental activities as assigned by the Director.
Our Ideal Candidate:
- Associate’s, BA, or BFA degree or equivalent experience.
- One to two years of museum experience or other office experience preferred
- Excellent administrative and written/verbal communication skills
- Working knowledge of Excel, Microsoft Word, and other Office software
- Ability to quickly take on new projects and assignments without compromising the quality of routine work while balancing long-term projects
- Ability to meet school tours throughout the building
- Ability to perform occasional light lifting
How You Will Spend Your Day:
- Serves as key point person for coordinating meetings, ordering supplies, and preparing materials.
- Coordinates all speaker arrangements (w-9, contracting, transportation, lodging) facility logistics, invoicing and payment, program descriptions, and other internal processes are completed for the success and seamless operation of programs.
- Ensure all speaker arrangements, facility logistics, invoicing, and payment are in place for the success and seamless operation of programs.
- Track and manage program expense reports, credit card reconciliations, and budgets related to public programs, interpretation, and Director-related projects

Identify and process marketing, website, ticketing, and accessibility requests necessary for programs for the Visitor Experience and Communications/Content/Creative departments to fulfill them.
- Works in cooperation with the Manager of Public Programs and Director of Interpretation on the administration of programs, including but not limited to:
- Procuring and preparing materials
- Providing attendance reports
- Assisting with recording and tracking expenses, initiating check requests, and monitoring budgets
- Develops presentation and report materials for the department for internal and external use and ensures the dissemination of up-to-date information to other departments.
- Other duties as assigned by the Director
