JOB SUMMARY:
The Executive Assistant to the Chief Operating Officer is responsible for providing administrative support to the Chief Operating Officer and the teams they oversee (human resources and operations).
DUTIES/RESPONSIBILITIES (*ESSENTIAL DUTIES):
Executive Assistant to the COO- Coordinate and implement a wide range of administrative, communication, and logistical services in support of the Chief Operating Officer's daily activities and special projects.
- Manage the COO’s time by scheduling meetings, providing necessary background material for meetings, and reminding the COO of schedules and deadlines.
- Answer and direct telephone calls to the COO.
- Maintain the COO’s calendar and contact list in MS Outlook.*
- Draft or edit written correspondence in the direction of the COO.
- Arrange detailed travel and transportation plans and itineraries and compile documents for travel related meetings in a timely and professional manner. Complete all travel expense reimbursements accurately and promptly. *
Human Resources and Operations Support- Process invoices and reconcile monthly AMEX.*
- Schedule orientations and facilitate new hire office tours as part of the organization’s new employee onboarding process.*
- Support the supply ordering process for each Expertise Center including approving order requests and assigning account access as necessary.
- Organize and maintain file systems.
- Prepare PowerPoint presentations as directed.
- Provide support in management of Truth Initiative committees.
- Maintain internal intranet site (The Insider) by updating staff information, posting announcements, and more.
- Perform customer service functions by answering employee requests and questions.
- Makes photocopies, scan documents and performs other administrative functions.
- Coordinate logistics for HR trainings (ordering food, supplies, coordinating schedules).
- Ensure a smooth flow of communication between staff and external contacts.
- Serve as backup to team members as necessary.
- Bachelor’s degree preferred. Experience may be substituted for education requirements.
- Minimum 3+ year’s administrative experience supporting an executive.
- Interest in human resources management and operations.
- Ability to anticipate the COO’s needs and proactively bring together appropriate people and resources to meet those needs.
- Must be able to work in a team environment.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat. Mac and PC fluency. Technologically savvy.
- Excellent communication, interpersonal, and customer service skills.
- Ability to maintain a positive attitude to set the tone for a professional office environment.
- Ability to exhibit a high level of confidentiality, diplomacy, and good judgement.
- Ability to work effectively with a wide variety of individuals and groups.
- Excellent planning and organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Prior administrative experience within a human resources or operations department preferred.
- Experience with HRIS is a plus.
This position is based in Washington, D.C. with a hybrid work schedule of 3 days in the office and two telework days.
COMPENSATION PACKAGE:
The salary range for this role is starting at $60,000 to $65,000 on a national basis. Individual pay decisions are based on a number of factors, including but not limited to qualifications for the role, relevant work experience, skillset, internal equity, location, and certifications, consistent with applicable law. Salary is just one part of our total rewards package which additionally includes equity, performance bonus for eligible roles, and competitive benefits.
