Position Overview
City Year Tulsa’s Operations manager is essential to supporting the site’s multiple operational systems. The Operations Manager supports the organization’s success by maintaining a cross-departmental perspective of programming and workstreams in order to ensure essential systems are maintained and functioning smoothly.
In addition to managing systems' daily function, this role ensures necessary platforms and systems are understood and utilized throughout the year, fostering greater cross-departmental collaboration and supports.
Job Description
Site Finances
Ensure timely processing of all accounts payable and receivable requests while maintaining accurate documentation in Workday.
Work to ensure the site is getting maximum value for all purchases and contracts.
Manage purchasing card for purchases that cannot be made by check.
Support in purchasing adequate office supplies and materials, and good relationships with all vendors, assuring the most competitive price.
Work closely with National Finance team in tracking and reporting expenses, as needed.
Site Technology
Continually improve efficiencies and increase impact through effective management of the site’s resources, assets and systems.
Ensure site has adequate capacity (technology, equipment, etc.) to execute against strategic goals and to maintain assets using Airtable
Understand City Year policies and procedures necessary to ensure appropriate decision-making protocols are followed.
Serve as site administrator of all computer hardware. Serve as a secondary source on computer applications and software.
Work with the National Information Technology Support staff to assure high quality of customer service to users.
Site Operations
Maintain good operations of all office equipment and serve as administrator of all hardware (computers, printers, telephones, laptops).
Develop and maintain the Tulsa office as a professional, organized physical space for staff and visitors.
Provide the highest level of customer service to guests arriving on the floor or calling over the phone.
Partner with Learning and Development Director to schedule and maintain campfire for AmeriCorps members in the office.
Ensure all meeting spaces in the office are prepared and staff have support for their meeting needs, including room set up, reservations, A/V and technology support.
Manage Verkada Door, and when unavailable identify another staff member to manage door
Participate in Organizational Initiatives
- Participate in corps member recruitment interviews.
- Attend and support all site events like Opening Day, MLK Day, Women’s Leaders Luncheon, Graduation, and other site-wide designated events.
Other duties as assigned: The Operations Manager will assume other tasks as delegated by his/her supervisor.
