The Position
Create exceptional donor experiences under the guidance of the Engagement Manager that is consistent with the expectations and capacity of our most influential supporters. You will work with the Engagement Manager to support the delivery of events, engagement and stewardship strategy for Private Funding.
You will be responsible for coordinating and facilitating exceptional key supporter experiences and donor interaction opportunities towards successful execution of World Vision Australia (WVA) Campaigns and help deliver events scope, plan and deliver the entire end to end supporter experience.
Responsibilities also include:
- Maintain project timelines of stewardship strategy, including all tasks that are associated with engagement, donor experience, planning and executing successful events
- Managing of schedules, RSVP lists, scoping and booking venues, sending Save the Dates and Invitations, Event Reminders, coordinating calendars and appointments, name tags and providing admin support for engagement events
- Support the Engagement Manager engaging with cross functional teams to ensure that all related engagement, events, Field Trips and stewardship activities are scheduled and delivered according to plan and within appropriate time frames
- Working closely with Relationship Managers, field staff, marketing teams and external suppliers on a daily basis to ensure that all aspects of the event are executed on time and to a high standard
- Liaising with Key stakeholders who work cross functionally with the Private Funding team, sending out diary dates and coordinating calendars, resources and activities across all departments
- Ensuring that the flow of communication, regarding all tasks is communicated and coordinated between the departments and wider organisation, including external stakeholders, and ensuring all corresponds to extremely high levels of service
- Initiate, manage and process finance-related tasks relating to events and maintain the budget tracker (credit card management, purchase orders, invoice payment, travel) in accordance with WVA policies, standards and audit requirements
- Assisting with event briefing and reporting post-event to key stakeholders from across the organisation
Who we’re looking for
We are looking for someone who is highly organised with excellent attention to detail, communication and interpersonal skills.
Your skills and experience will also include:
- Understanding of donor engagement cycles, donor management and fundraising within a not-for-profit environment would be advantageous
- Microsoft Office Suite with advanced skills in Word, Excel, PowerPoint, MS Project, Outlook
- Experience using CRM systems such as Salesforce, event management software and web design or EDM software would be advantageous or a willingness to learn
- At least 3 years in a similar events co-ordinator / administration role
- Managing multiple projects to tight timelines
- Experience working in a team environment
- Demonstrated ability to organise, schedule and plan, and to meet deadlines, along with the ability to be flexible to adapt to changing priorities
- Ability to produce clear and accurate communications that are appropriate for their intended audience
- Year 12 and/or vocational training relevant to a professional administrative role
- Diploma in Events, Fundraising or business administration or similar
