Planned Parenthood Pasadena & San Gabriel Valley (PPPSGV) has been proudly serving our community since 1933 and is one of the original Planned Parenthood affiliates in the nation.
We provide reproductive health care, health education and advocacy from our five health centers in Alhambra, Baldwin Park, Glendora, Highland Park, and Pasadena, in addition to our telehealth clinic. We strive to ensure the sexual and reproductive health services we provide align with the needs of the communities we serve. Our service area extends from Glendora to Glendale and from the San Gabriel mountains to the San Bernardino freeway, home to 24 communities and a diverse population of 1.4 million people.
Today, PPPSGV sees over 60,000 patient visits per year and delivers over 15,000 opportunities for sex and relationship education in our schools and colleges.
We offer safe and legal abortions. We are committed to providing accurate, non-judgmental care and resources by helping our patients overcome financial, transportation, and other barriers to care. In addition, we work with abortion funds and practical support network to support our patients. Our abortion care has increased every year since 2018 with an average of 3,500 abortions per year. We saw close to 4,000 abortion patients in 2022 alone, approximately 59 were out-of-state patients.
The Associate Health Center Manager will float across 5 health centers to manage and oversee affiliate in the provision and delivery of all reproductive healthcare services including medication and surgical abortions. This position will support and partner with Health Center Managers to ensure efficient center operations and client services in a family planning and specialty services setting as prescribed by the Agency’s protocols, policies, and procedures. Under the direction of The Director of Center Operations, the Associate Health Center Manager will implement and evaluate change management and/or process improvement projects identified. This position will monitor patient flow, patient satisfaction and address patient concerns as they arise. They will coordinate with the health center staff to ensure outstanding customer service and efficiency in clinical service delivery to all patients, direct the delivery of the full range of the reproductive health care services and primary care services we offer. The work schedule for this role will be Tuesday through Saturday.
As an Associate Health Center Manager, you will save lives while you:
- Health Center Operations:
- Oversee staff schedules and call out management, including telehealth and Saturday health center management
- Appropriate scheduling of clinic visits and smooth, efficient clinic flow to maintain financial integrity and stability of the clinic operation
- Track and supervise inventory, ordering supplies, equipment, and control of all medication for all health centers as needed to deliver medical services
- Monitor schedules to improve patient wait times, customer service, and achieve established goals for volume
- Develop, refine, implement, supervise, monitor, and evaluate the provision of medical service delivery in accordance with Agency and governing authority policies and procedures
- Lead health center efforts to achieve established goals for productivity and quality metrics
- Embody Planned Parenthood Experience (PPX) leader service standards by modeling, communicating and celebrating
- Hold all clinical staff accountable to specific measurable customer service standards, data accuracy and productivity, efficient work flow, measuring indicators, and analyzing processes to improve clinic performance.
- Conduct annual performances and implementing corrective action plans when customer service expectations are not being met
- Lead health center/affiliate efforts to achieve established revenue cycle goals
- Remain current on all FDA approved contraception (including emergency contraception), non-directional decision-making pregnancy options counseling (including surgical and medication abortion, adoption, and prenatal), STI’s (including HIV), comprehensive sexuality including lesbian, gay, bisexual, transgender and questioning, community resources, PPPSGV medical protocols, administrative procedures, referral procedures and all Planned Parenthood services and programs
- Partner with Licensed Staff leadership in operational leadership decisions to ensure the provision of high-quality client care
- Hire for all center programs and services, retain, terminate (if necessary), and evaluate all staff in cooperation with the Human Resources Department
- Ensure compliance with all federal, state and local regulations related to the operations of the health center, including DHS, OSHA, Environmental Health, Board of Pharmacy, CLIA, Title X, FPACT, and Medi-Cal
- Ensure adherence to Agency policies, procedures, and standards regarding: quality improvement, customer service, availability of appointments, productivity, confidentiality, management of electronic medical records, billing, clinic receipts and deposits, and facility
- Implement and ensure compliance to all Risk Management and Quality Assurance practices as outlined by the Integrated Quality and Risk Management Program
- Facilitate health center operations by identifying and resolving problems and propose responses to developing trends and by problem solving with staff
- Promote a clinical team environment in which high quality care is provided in a manner that is efficient, responsive to client’s needs, user friendly and cost-effective
- Ensure a safe work environment that supports the smooth functioning of center operations
- Effectively interact with people and develop positive relationships while being tactful, respectful, and direct in communication
- Ensure compliance to HIPAA and Agency confidentiality policies in dealing with clients and staff
- Develop and implement an annual center plan and budget. Review and monitor health center budget and monthly financial statements against operating budget for fluctuations in revenue, variable expenses and staffing ratios and adjusts actions in order to reach clinic specific metrics.
- Responsible for financial management for the health center. Accountable for daily reconciliation of deposits and logs, submitting invoices and expense reports, financials and account receivables and conducting audits as necessary
- Maintain efficient client care flow through a team approach by planning and implementing client and staff scheduling in conjunction with clinical staff leadership
- Collaborate and ensure successful communication with Contact Center staff members regarding policy and protocols, staff development needs, and conduct team meetings on a regular basis in conjunction with clinical leadership
- Participate as a member of the Health Center Leadership Team, attend regular meetings, education programs, committees, conferences and participate in programs, agency planning and policy formulation as requested
- Must participate in task forces or committees in order to help create Agency strategic recommendations or decisions from an organizational perspective
- Responsible for the accuracy of client information entered into the Agency’s Practice Management System and Electronic Medical Record system
- Conduct community outreach, networking and education as well as internal and external marketing in order to attract and retain clients and to establish PPPSGV as a long-term referral source
- Support risk and quality management by proactively communicating identified risks to supervisor in order to minimize risk when possible.
- Communicate any changes, new processes, and weekly updates information in a daily morning huddle to all Health Center staff
Project Management:Under the direction of the Director of Center Operations, prioritize projects and initiatives based on the largest impact to the organization
Other:Assess, track and report data regarding health center efficiencies and productivity as well as the overall impact of quality and process improvement initiativesReview and manage discrepancies with documentation and billing as they negatively impact Health Center reimbursements for services renderedDevelop and maintain broad knowledge of best practices and trends in process improvement and organizational efficienciesComply with PPPSGVs Code of Conduct and maintain the highest level of professional and ethical standards and to act in compliance with both the letter and spirit of all applicable laws and regulationsOther duties as assigned
