JOB PURPOSE:
Plan, implement, manage, and administer the full life cycle of key operational processes within Residential Education. Serve as departmental subject matter expert for campus policies and processes that impact the resident fellow, graduate resident assistant and graduate fellow programs, including housing/facilities, building and systems access, events, onboarding and training, and data management.
CORE DUTIES*:
- Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.
- Oversee daily support operations for the Resident Fellow (RF) cohort, including managing RF data, directories, listservs, and affiliate accounts. Coordinate RF recruitment communications and guest cottage reservations. Address sponsorship and access issues (e.g., keys, IDs, mail, meals) with the ResEd Operations team. Prepare and manage RF appointment letters, annual terms, and contractual documents. Maintain and enhance RF intranet content to support training, policies, and documentation in collaboration with the ResEd Administration team.
- Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.
- Lead the development of the RF house programs longitudinal data project and support additional RF data-related initiatives as needed.
- Analyze and interpret policies; develop, revise and implement procedures for program or function.
- Act as a subject matter expert on Stanford’s financial and administrative policies related to the RF cohort. Collaborate with the Associate Dean for RF Engagement to interpret policies and support annual RF processes, including recruitment, onboarding, training, and on-campus moves, involving coordination with vendors and VPSA HR.
- Represent the program or function as the key contact and subject matter expert within the department, unit or school. Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies.
- Coordinate the RF Facilities Committee with ResEd, R&DE Housing, and Capital Projects on apartment management and transitions. Manage communications with campus leadership for RF events and collaborate with R&DE partners and vendors to address apartment facilities needs. Maintain key partnerships across ResEd, R&DE, VPSA HR, and the Faculty Club.
- Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences.
- Oversee and execute all RF events, including the annual retreat, monthly meetings, training, and onboarding. Act as the primary contact for RF candidate inquiries and manage the candidate process, including the website, Qualtrics forms, and candidate materials administration.
- May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget.
- Monitor and reconcile budgets that support the resident fellow and graduate resident assistant programs.

MINIMUM REQUIREMENTS:
Education & Experience:
Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.
