JOB PURPOSE
The Associate Director of Fitness Programs is responsible for the implementation and administration of programs in fitness, instruction, and other programs as needed. This individual supervises full-time staff and over sixty part-time staff. Specific responsibilities include program management, recruitment, hiring, training, supervision and evaluation of professional, student and contingent staff, development and oversight of operating budgets, development and enforcement of program policies and procedures, and revenue generation. This position reports to the Senior Director of Programs.
CORE DUTIES
Staff Management (40%)
- Coordinate the group fitness, personal training, and recreational class program areas for Recreation and Wellness including providing leadership and education to fitness staff. Responsible for the daily management of staff, including the recruitment, hiring, onboarding, scheduling, motivation and retention.
- Plan, organize and facilitate training, work assignments, evaluations, and if needed, disciplinary action for personnel. Trains staff in the use of the recreational facilities and emergency procedures.
- Provide verbal and written evaluation of work performance of full time and contingent staff
- Ensures customer encounters are courteous, respectful and efficient.
- Ensures staff understand their role as valuable team members within Recreation and Wellness.
Administrative Responsibilities (30%)
- Gather, analyze and report on group fitness, personal training, and recreational class data.
- Contribute to the budget planning process, tracking annual expenditures
- Responsible for the input of fitness program information for all sport and recreation classes and programs into the membership software in alignment with marketing and registration deadlines.
- Regularly collect satisfaction surveys and customer response forms; create reports and recommend solutions.
- Successfully manage an accurate administration of online program registration; including internal collaborations with cross functional teams, responding to inquiries in a timely manner, and managing payment systems.
- This position works directly with and in close collaboration with the Associate Director of DAPER Academic Programs on specific functions, projects, and programs, including instructor education and development.
- Ensure prompt and effective verbal and written communication with staff, participants and rosters, and supervisor based on daily program needs.
Program Management (30%)
- Oversee the management and implementation of group fitness, personal training, and recreational class programs.
- Occasionally conduct group training, recreational classes, and/or group fitness sessions.
- Manage the life cycle of employees including, hiring, onboarding, training and evaluation of up to 60 part time instructors
- Manage program operations as it pertains to the space and scheduling of group fitness studios, scheduling of instructors in partnership with other relevant recreational facilities.
- Review and recommend policies and procedures to include facility access, emergency action plans, and standard operating procedures and safety standards.
- Develops and maintains positive working relationships with University and/ or community representatives, vendors, and other regular contacts to meet the objectives of the fitness program.
- Serves on Recreation and Wellness, DAPER, and campus committees as directed.
- Provides assistance for major events as requested
- Conducts other duties and assists other Recreation and Wellness staff as necessary.
MINIMUM REQUIREMENTS
Education and Experience
Bachelor's degree and three to five years of relevant experience or a combination of education and relevant experience. Master’s degree in exercise related fields is preferred.
Knowledge, Skills, and Abilities.
- Experience in fitness programming, health promotion, and personal training
- Experience in developing and implementing training, educational classes and recreational programs
- Analytical and problem solving skills.
- Ability to meet expected deadlines and schedules.
- Interpersonal skills and mature judgment required to interact effectively and collaboratively with a broad range of people, including program areas, stakeholders, vendors, and equipment suppliers, both individually and in groups.
- Demonstrated ability to set priorities in order to perform a high volume of detailed work with constant interruptions.
- Ability to coordinate daily activities including work scheduling, quality assurance, monitoring of activities, and supervision of personnel.
- Knowledge of current risk management practices in recreational facilities and student management strategies.
- Demonstrated ability to provide a high standard of customer service.
- Experience with MS Office products, Google Drive and applications, and other Recreation based software (Fusion, Netgym, Inbody)
Certifications and Licenses
- Nationally recognized personal training or group fitness certification required
- Current CPR, AED and First Aid certification or the ability to obtain within 30 days of hire
PHYSICAL REQUIREMENTS
- Ability to exert physical effort, including the ability to lift a minimum of 30 lbs., bending, squatting, reaching, or being on feet for long periods of time.
WORKING CONDITIONS
- Routine work during normal business hours, evenings and weekends. May need to work occasional extended hours.
