An impact -driven non -profit organisation is seeking a proactive and detail -oriented Financial and Data Administrator to join their operations team. This is a fixed -term contract, commencing in January 2026 and running until the end of April 2027, with the organisation aiming to finalise recruitment by year -end. The position offers a hybrid working arrangement, with 2 days in the Cape Town office (typically Wednesday and Thursday) and 3 days remote. Core working hours are 09:00 to 16:00, with flexibility to start earlier (from 07:00 or 08:00) and finish accordingly. Additional office -based days may be required during the initial onboarding period while settling into the role.

Responsibilities:

Financial Data Management
<\/div>
- Review and capture travel and general expense claims, credit card summaries, and petty cash records.
<\/span><\/li> - Apply exchange rates to convert multi -currency expenses to local currency.
<\/span><\/li> - Ensure all claims are complete with supporting documentation and assigned to correct project or general ledger codes.
<\/span><\/li> - Liaise with staff and project managers to follow up on missing or incomplete information.
<\/span><\/li><\/ul>Cashbook & Bank Administration
<\/div>
- Download and save monthly cashbooks and bank statements from multiple banking sites.
<\/span><\/li> - Format and edit Excel cashbooks for import into the accounting system.
<\/span><\/li> - Reconcile bank statements against credit card and petty cash summaries to ensure completeness.<\/span>
<\/li><\/ul>Document & Reporting Support
<\/div>
- Organise and electronically file project and general expense documents.
<\/span><\/li> - Provide financial and project -related documents to support reporting for clients, donors, or audits.
<\/span><\/li> - Capture and summarise data for donor and funder reports.<\/span>
<\/li><\/ul>Project Administration & Office Support
<\/div>
- Maintain accurate project and contract data in the customised project database system.
<\/span><\/li> - Support quality assurance, version control, and internal process documentation.
<\/span><\/li> - Assist in preparing and maintaining subcontractor agreements and related documentation.
<\/span><\/li> - Update project management templates and provide administrative guidance to project teams.<\/span>

- Assist with ad -hoc administrative tasks to support the finance and operations teams.
<\/span><\/li> - Ensure compliance with internal procedures and audit requirements.
<\/span><\/li> - Prioritise tasks effectively and meet deadlines in a fast -paced environment.

Requirements<\/h3>
- Relevant postgraduate diploma and/or 5 years of suitable experience in financial administration and/or project administration (non -negotiable)<\/span>
<\/li> - Proficiency in Microsoft Office, particularly Excel<\/span>
<\/li> - Excellent attention to detail and professionalism in handling sensitive data<\/span>
<\/li> - Fast learner able to thrive in a fast -paced environment<\/span>
