Charitable Projects Specialist will provide project coordination, research, and administrative support for a range of fundraising, stewardship, and organizational initiatives. This role will manage multiple projects including donor communications, event coordination, supplier research, grant research, and database review while supporting ongoing improvements to donor engagement and fundraising processes.
This position reports to Vice President, Philanthropy
Key responsibilities for this position:
- Direct Mailing
- Oversee the development of our spring, summer and fall direct mail campaigns including communication with families, facilitating interviews and consents, and timeline development.
- Manage the copywriting process with designed elements
- Develop the data strategy and work with Database Coordinator to prepare the data for distribution to mailing house
- Corporate Suppliers
- Conduct research (internal and external) on supplier list to prepare for active solicitation
- Plan and/or conduct initial outreach to set up prospect calls/meetings
- Special Event Support
- Review and prepare promotional assets for signature Charitable events including sponsor materials, website content, brochures, etc.
- Conduct research and outreach to fulfill event needs
- Ongoing maintenance of website content
- Support the development of a communications plan and execute on key elements within the plan
- Raiser’s Edge Database Review

- Work with contracted support consultant to review and implement best practices
- Track case support and provide key input to Charitable staff on decision-making processes as it relates to implementing best practices for data management.
- AKA Raisin Fundraising Software
- Review other products to identify options for improving the donor process (online tributes, electronic tax receipts, etc.)
- Grant Research
- Conduct research on potential foundations for program and operational grants
- Stewardship
- Track milestones for any required stewardship reports
- Conduct donor thank you calls
- Tribute card process oversight
- Donor Wall Updates (MBH)
- Oversee the review of the donor wall and develop plan for revitalization with consultation from Charitable staff at various Better Living sites
- Third party events
- Research potential third party event partners in service communities
- Create third party event guidelines and toolkit
- Charitable materials
- Collect samples of materials from other similar organizations
- Develop plan and execute on the plan to develop new materials for charitable giving
The successful candidate for this position must have the following qualifications:
- Completion of a post-secondary diploma or degree in fundraising, communications, marketing, non-profit management, business administration, or a related field, or a combination of equivalent education and work experience.
- A minimum of 2 years’ experience supporting projects, events, or fundraising initiatives in a non-profit, community services, or related environment.
- Experience with project coordination, event planning, research, and stakeholder engagement, along with strong organizational skills.
- Experience working with Blackbaud, Raiser’s Edge and AKA Raisin considered strong assets.
- Experience working in the community services or healthcare sector is an asset.
- Experience supporting fundraising, donor stewardship, or grant research is an asset.
- Successful completion of a Vulnerable Sector Screening.

Position Details:
- 3 days per week
- Hybrid work arrangement (remote with ability to attend on-site meetings when required)
- Immediate to December 18, 2026
Salary: $24.00 – $26.50 hourly range, part time, 24 hours per week
