Position Summary
The Administrative Support (AS) plays a crucial role in maintaining the smooth operation of our front desk and providing exceptional support services to clients and visitors. In addition, the AS is responsible for answering phone calls, greeting and directing visitors and providing administrative support to the Agency.
Some of the duties include:
- Answer and route incoming phone calls to the appropriate individuals or programs/departments
- Manage the distribution of incoming and outgoing mail, coordinate delivery to the appropriate recipients
- Assist with various administrative tasks such as data entry, photocopying, check distribution, etc.
- Assist with coordinating Agency events such as meetings, workshops, trainings, etc.
- Ensure compliance with Agency security procedures by issuing and collecting visitor badges and parking key fobs
- Create ID badges for new staff and participants, as appropriate
- Collaborate with team members to provide excellent client support and maintain a professional and positive work environment
- Collaborate with team members to maintain updated resources such as staff directory, off-site resources for clients, etc.
- Respond to client inquiries and requests in a timely and professional manner
- Manage the RSC facility visitors log
- Manage the front desk voicemail throughout the work shift
- Send building communications and reminders, as appropriate
- Maintain a clean and organized front desk area, ensuring a professional appearance
Qualifications
Our ideal candidate has a high school diploma or equivalent; additional certification or associate degree in related field is a plus. Proficient in operating a multi-line telephone system; Proven experience in a similar role, preferred. Experience working with the homeless, chemically dependent, or mentally disabled individuals; and effective communication and crisis intervention skills preferred.
