SUMMARY:
The Administrative/Delivery Coordinator will contribute to City Seeds success as a team player and Department Head. S/He will also be responsible for overall cleanliness, sanitation, and compliance with state and local health regulations in the kitchen area(s) and the outside of the facility. The Administrative/Delivery Coordinator responsibility will include but, not limit to deliveries to local business, client homes, hotels, corporate/local venues, and retail locations. Position requires Valid Driver’s License for driving company vans, maintaining professional conduct while representing City Seeds with a positive, friendly personality. The Relief Support shall strive to provide exceptional service to both internal and external guests at all times. S/he will be responsible for exemplifying City Seeds Culture and the 7 Core Values.

RESPONSIBILITIES AND ESSENTIAL JOB FUNCTIONS:
Administrative:
- Coordinating internal sales effort by responding to walk-in, telephone or email guest inquiries.
- Promotes/coordinates marketing promotions for City Seeds.
- Coordinating administrative sales support such as documenting sales calls, setting up customer billing information, creating sales marketing promotions, printing labels, etc.
- Submit invoice into Bill.com every Thursday with proper coding.
- Contact clients on behalf of the Sales Managers/Directors and serve as a representative of the department in the manager's absence.
- Act as a liaison between customer’s and management.
- Ensure that standards of personal appearance, grooming and conduct are an example to the team and provide a professional image of guests.
- Files – maintain/update both paper files and CaterZen/Caterease.
- Answering inquiry calls, taking down essential information in order to pass along to Sales/Catering Managers/Executive Chef/Director.
- Maintain adequate inventory of office supplies.
- Type and distribute meeting minutes.
- Prepare Banquet Event Orders (BEO’s) as per customer needs (Catering Only).
- Attend meetings/training as required by management
- Assist Executive Chef with food labels/labeling.
- Assist Chefs/Cooks with proper reporting paperwork i.e. imputing inventory.
- Prepare all reports for the Director review and approval.
SERVICE DRIVER (VALID DRIVERS LICENSE REQUIRED):
- Deliver food products to customers within the City Seeds designated area’s in a timely manner.
- Load truck efficiently (to make deliveries with the least amount of rearranging) and with the safety of the equipment and personnel in mind.
- Secure customer signature whenever necessary and maintaining an accurate log, noting any irregularities, special circumstances, or delivery carts left on site.
- Obey traffic laws and drive courteously.
- Notify manager if behind schedule so customers can be contacted.
- Plan Routes and assist on assigning them to proper drivers.
- Clean City Seeds transportation fleet accordingly to City Seeds guidelines.
- Assist in setting up and tearing down catering events.
Other Duties that you may perform throughout the day if needed:
PORTER:
- Maintaining highest level possible of cleanliness and sanitation standards throughout City Seeds as often and as fast as possible.
- Assist on keeping all kitchen facility clean, sinks, stoves, walk-in refrigerators, freezers, dry storage, and walls, windows clean and sanitized.
- Ensuring basic cleaning tasks are carried out as quickly as possible to avoid hindering operations.
Kitchen Support:
- Arranging equipment and ingredient deliveries.
- Package and label foods as needed.
- Following any updated Health and Safety Guidelines.
- Maintain a teamwork orientation towards co-workers.
- Emphasize safety awareness and effectively with all kitchen equipment and staff.
- Show willingness to be trained in all areas.
- Sustain clear and effective communications.
- Read and follow recipes.
- Uses our Standard Recipe Card for preparing all products. Do not rely on the memory of yourself or other employees.
- Understands and complies consistently with our standard portion sizes, cooking methods, quality standards and kitchen rules, policies and procedures.
- Ability to portion food products prior to cooking, according to standard portion sizes and recipe specifications. Complete opening and closing checklists.
- Visually inspect, select, and use only the freshest ingredients in the preparation of all menu items.
- Ability to maintains a clean and sanitary work station area including tables, shelves, walls grills, broilers, fryers, pasta cookers, sauté burners, convection oven, flat top range and refrigeration equipment.
- Promptly reports equipment and food quality problems to Manager on duty.
- Inform Manager on duty immediately of product shortages.
- Ensure proper receiving, storage, and rotation of food products so as to comply with health department regulations.

WORKING CONDITIONS:
- Must be able to stand on feet throughout the shift, with intermittent periods of walking.
- Must be able to occasionally lift, carry, push & pull up to 50+ lbs. with assistance.
- Must be able to perform simple grasping, fine manipulation, and repetitive hand & arm movements frequently, and squeezing & overhead reaching occasionally.
- Must be able to bend, squat, crawl, kneel, push, pull, and walk on uneven surfaces on an occasional basis.
- Must be able to frequently handle kitchen supplies and equipment to maintain the facility.
- While primarily an indoor job, must be able to walk outside in a variety of weather conditions (rain, wind, heat).
- Must be able to climb stairs occasionally, both indoors and outside in a variety of weather conditions (rain, wind, heat).
- Must be able to work in variable temperatures, as kitchen temperatures and scullery may fluctuate.
Agency Cohesiveness
- Participate in agency activities and the organization’s continuing learning on issues of racial equity and equity in general.
- Other duties as assigned.
- To maintain continuity, 30 days’ notice must be given upon resignation.
QUALIFICATIONS:
- More than two years post high school education with one to two years employment in a related position is required. Prior hospitality experience preferred.
- 18 years of age or older.
- Ability to operate LCD projector, laptop computer, overhead projector, TVs and monitors, kitchen equipment.
- Must be proficient in Microsoft Office.
- Good Driving record and a valid Maryland Driver’s License is REQUIRED.
- Read and employ math skills for following recipes and office duties.
- Excellent cold calling & prospecting skills.
- Excellent time management, self-motivation.
- Relationship building / networking skills.
- Efficiently working with materials and/or resources being aware of and minimizing costs and expenses.
- Certified ServSafe preferred but not required.
- Service-minded and team-oriented & Strong attention to detail.
- Must be able to accurately follow instructions, both verbally and written.
- Ability to relate well to staff and board members of different races, ethnicity, genders, sexual orientations, socioeconomic backgrounds, and religions.
- Ability to proactively prioritize needs and effectively manage time and resource.
Preferred Education/ Knowledge, Skills, and Abilities:
- 2+ years in Food Delivery, Food & Beverage experience in the hospitality industry.
- Ability to work independently with minimal supervision.
