POSITION SUMMARY
The Philanthropy & Public Engagement Coordinator is responsible for supporting donor member and public engagement activities including event coordination, communications support, content preparation, and administrative tasks. The role enables effective stewardship, engagement, and operational coordination across the Philanthropy & Public Engagement team and is responsible for US donation deposits. Occasional travel may be required.

MAIN RESPONSIBILITIES INCLUDE:
Donor & Public Engagement Support - 30%
Provide administrative and logistical support for member and public
- engagement events including MEDA Network hub events and
- MEDA’s annual convention
Support event planning, registration, materials preparation, on-site
- logistics and post-event follow up
Coordinate schedules, communications and materials for
- philanthropy & public engagement activities
Philanthropy Operations & Financial Administration – 15%
Process and clear private donor cheques received in the US in
- accordance with MEDA finance policies
Ensure purchase order and expense compliance for PPE related
- activities in MEDA systems/databases (e.g. NetSuite)
Maintain accurate documentation and records related to all
- transactions and approvals
Communications & Content Support – 20%
Create and update PowerPoint presentations for donor events and
- internal use
Provide light graphic design support (basic layouts, simple visuals)
- using approved templates
Edit, organize and post public photo albums for partners and
- stakeholders in accordance with brand guidelines
Data, Systems & Reporting Support – 15%
Support data entry and maintenance in donor and engagement
- Systems
Assist with basic reporting related to events, engagement activities
- and communications
Ensure data accuracy and confidentiality in accordance with MEDA
- policies and privacy standards
General Administrative & Team Support – 20%
Provide general administrative support to the Philanthropy & Public
- Engagement team including scheduling, document preparation, and
- meeting coordination
- Maintain the VP, PPE and VP, Integrated Communications & Thought
- Leadership calendars and provide executive administrative support
- as needed
- Respond to routine donor and constituent inquiries, escalating as
- needed
- Contribute to team coordination and continuous improvement
REQUIREMENTS
Education: Bachelor’s degree in administration, communications, philanthropy, fundraising or public engagement
Experience: 1-3 years in an administrative role
Technical Expertise: Proficient in Microsoft Office Suite, experience working with databases (donor, financial)
