We are currently looking for an Instructor Coordinator to join us in our mission to save lives and prevent injuries.
Position Highlights:
Audit class/instructor schedule input for accuracy. Monitor class records; audit and/or input student completion data in DDC. Draft and send routine communication to instructors. Provide phone support to instructors for common A/V troubleshooting. Receive classroom facility maintenance requests and communicate with appropriate staff/vendors for resolution. Mediate issues between customers/students and state agencies. Coordinate instructor development courses and continuing education courses. Assure adequate instructor monitoring sessions. Review instructor teaching history for minimum requirements. Process DDC material orders for classes as needed. Answer telephone in call center environment from multiple calling queues (based on program). Handles escalated calls as needed.
What You’ll Do:
Customer Service - 25%
- Answers telephones in call center environment in multiple calling queues, provides program information, researches and resolves enrollment and completion problems, registers motorists with credit card payments, and screen / route calls as necessary.
- Communicates with customers, state agencies and instructors on a variety of matters.
- Provides Level 2 customer support via escalated phone calls, Jabber chat support, and email.
Instructor Administration - 55%
- Assign instructors to classes using automated scheduling software. View the schedule after generated and adjust it as necessary. Receive confirmation via the intranet instructor database.
- Audit class completion records reported by instructors via the portal, telephone, email, or fax for accuracy; enter/verify completion records into DDC; update driver records with extensive attention to detail, assuring process integrity with the instructors and data integrity with the database.
- Maintain records of class activity, prepare monthly program activity report, and update annual report.
- Create, manage and strive to continually enhance communications with part-time employee instructors including regular memos, procedure updates, safety bulletins, etc.
- Schedule monthly group Zoom meetings for PTIs and supervisors.
- Secure replacement instructors for classes as needed for illness, schedule conflicts, and weather related cancellations.
- Troubleshoot minor instructor issues at NSC leased spaces for A/V, access systems, and other routine facility or student problems.
- Process product orders in Salesforce for DDC products, teaching materials, and office supplies.
- Work with instructors to ensure participation in mandatory HR and safety training. Track and record progress, and update Supervisor as needed.
- Accurately track part-time instructor-earned sick time benefits as regards payroll and time off needs. Follows all MA documented guidelines for Earned Sick Time Law.
Instructor Development - 20%
- Support recruitment of new instructors. Schedule, organize all aspects, and assist in the delivery of Instructor Development Courses (IDC) and Continuing Education Courses as needed to maintain instructor credentials; obtain state agency approval of new candidate instructors.
- Review and evaluate IDC completion records and employment packets; determine eligibility for certification. Schedule team teaching assignments for new candidate instructors.
- Initiate instructor renewal process; update renewal information in the database; update files to assure prompt and accurate delivery of credentials.
We’re Looking for Someone with:
Associate's degree and at least 2 years of relevant experience in an administrative coordinator type of role. In lieu of Associate’s degree, high school diploma and at least 4 years of relevant experience.
Associate’s degree preferred.
Call center experience preferred.
Intermediate proficiency with Microsoft Office
This is a hybrid position
The salary range is $20.00/hr
