A Home For All Administrative Project Coordinator

The Administrative Project Coordinator is accountable for supporting the implementation of the strategies identified in the A Home For All Implementation Plan. This position requires a detail-oriented, proactive, and highly organized individual who can handle various administrative tasks and provide exceptional support to internal and external partners. The ideal candidate will excel in administrative duties, be collaborative, a communicator and strong writer, able to adapt to changing priorities, and a skilled learner committed to ensuring a high level of accountability and effectiveness in supporting and understanding the needs of the greater Charlotte community.
The position reports to the Director of Housing Solutions.
Accountability and Responsibilities
- Provides administrative support for meetings. Duties include: Attending meetings, manage and maintain all communication for meeting scheduling, prepare and distribute meeting minutes, distribute agendas and supplemental documentation, reserve meeting space, order refreshments, and meeting set-up and break down including technology needs.
- Provides ongoing administrative support to the Director of Housing Solutions including calendar management and Concur support.
- Monitors A Home For All email box and relay messages to appropriate team member to ensure timely response to inquiries.
- Works collaboratively with the Director of Housing Solutions to meet and maintain all qualitative and operational deliverables tied to government contracts.
- Tracks implementation progress and timelines to ensure deliverable fulfillment and plan alignment.
- Prepares compilation of monthly, quarterly, mid-year, and year-end reporting.
- Prepares regular communication updates for stakeholders.
- Provides ongoing support for the execution of the A Home For All Implementation Plan by assisting with community outreach efforts. Engages the community by becoming a member of CoC committees and workgroups.
- Represents department as needed and as capacity allows on strategic cross-functional teams.
- Supports the Community Impact team by remaining knowledgeable about A Home For All and other organization initiatives.
- Develops a deep understanding on housing and homelessness through various avenues including: online courses, in-person classes, seminars, conferences, books, etc.
- Serves as a proactive and contributing member to the United Way team, performing duties and providing support outside of the functions listed above.
Education/Experience Requirements
- Administrative experience and excellent approach to administrative tasks
- Expert multi-tasker who skillfully manages multiple competing priorities
- Problem-solver with keen attention to detail
- Detailed-oriented and organized with proven ability to excel a fast-paced and goal-oriented environment
- Proficiency in all Microsoft applications
- Strong writing skills
- Self-directed with excellent task and time management skills
- Ability to effectively and professionally communicate with internal and external partners
- Personal qualities of integrity, credibility, and sensitivity in dealing with confidential issues
- Flexible and adaptable team member, comfortable with managing change
