We are currently in search of a Development Administrative Assistant for a Nonprofit Social Service Organization. The position is in-person in Long Island, NY This is a temporary, full-time assignment.

SCHEDULE: Full-time; 40 hours/week
DURATION: Temporary to Hire (~6 months)
HOURLY PAY: $20.00-$22.00/hour; $45,000-50,000/salary
Is This Your Dream Job: Under the general direction of the Associate Executive Director of Development, the Development Administrative Assistant will provide day-to-day administrative, event and database support for the development department.
Our Ideal Candidate:
· High school diploma or General Education Degree (GED), college degree preferred.
· 1+ years’ experience as an administrative assistant required, preferably in development/fundraising.
· Highly organized and able to handle multiple priorities.
· Detail-oriented, multi-task capable and able to work under pressure in a fast-paced environment and meet deadlines.
· Ability to write reports and business correspondence.
· Skilled in taking and transcribing dictation, accurately and with reasonable speed, on a variety of materials, including statements and minutes.
· Skilled in composition, setting up and typing accurately and with reasonable speed a variety of correspondence, reports, and other materials.
· Self-Starting and ability to work independently and with minimal supervision.
· Ability to work in a team environment.
· Ability to work flexible hours including evening and weekends.
· Strong mathematical skills with the ability to apply concepts such as fractions, percentages, ratios, and proportions to practical solutions.
· Thorough knowledge of office practices, procedures, and equipment.
· PC skills—Microsoft Office (Word, Excel, PowerPoint, and Outlook).
How You Will Spend Your Day:
Epilepsy Services:
· Responsible for correspondence sent on behalf of the department.
· Prepare responses to correspondence containing routine inquiries.
· Maintain records management systems.
· Open, sort, and distribute incoming correspondence.
· Handle confidential and non-routine information. Ensure the discreet handling of all Agency business.
· Create flyers and notices for mailings to promote all epilepsy education programs. Submit website updates
· Maintain updated Professional Advisory Board membership list, send out invitations, and register guests for meetings.
· Update Community Education database for school personnel, neurologists, nurses, hospitals, and comprehensive epilepsy centers, MSCs, volunteers, politicians, and general constituency.
· Complete all preparatory activities for Community Education presentations including maintaining registration list, greeting, and signing guests, providing copies of handouts, and ensuring proper room and technology set-up.
Development/Fundraising:
· Handle telephone calls, emails, and relay messages as needed by the department.
· Prepare correspondence, reports and any documents needed by the Development office.
· Utilize the fundraising Customer Relationship Management (CRM) software to record gifts and contacts with all donors; maintain accurate fundraising records, create reports and any other documents as needed.
· Prepare documents, reports, proposals, and other fundraising materials used in the cultivation or solicitation of prospects and donors.
· Initiate phone calls, schedule meetings and organize appointments with volunteers, donors, and prospects.
· Maintain mailing lists for departmental use.
· Organize and maintain a filing system for all department activities.
· Prepare purchase orders, check requests, and maintain office supplies and subscriptions as needed.
· Organize and maintain expense records for departmental activities.
· Compose correspondence, including acknowledgement letters as well as renewal and reminder letters, as needed on a timely basis.
· Complete online applications as requested
· Attend various fundraising events and support the department at events as needed, including gala, golf outing, walks, etc.
· Prepare materials for meetings and attend committee meetings as needed.
· Assist in the preparation of fundraising related materials, including journals, publications, press releases, solicitation packages.
· Represent the development office with courtesy to internal and external contacts.
