Job overview: The Workplace Experience Coordinator plays a key role as the first point of contact for Common Sense. The Workplace Experience Coordinator ensures that the front desk welcomes guests and staff warmly and positively, and executes all administrative tasks effectively, professionally, and efficiently.

SALARY: $25 - $28 per hour
Responsibilities

Answer and direct all incoming calls with professionalism and efficiency. Route calls to appropriate staff and maintain the general voicemail box.

Greet visitors with hospitality in mind, and assure that they are connected with who they are visiting in a timely manner.

Work with site security to ensure that visitors have a smooth start to their visit, including managing the visitor registration process via site security's web portal.

Manage key fob and badge inventory, including activation and deactivation for new, existing, and departing employees.

Coordinate with building management to:

Manage maintenance and repair requests via the tenant portal.

Coordinate annual maintenance of fire extinguishers, certificates of insurance, and other building and unit maintenance needs.

Coordinate general maintenance of office equipment (e.g., copy machine, postage machine), with IT's support on more complex maintenance and setup.

Maintain inventory of office supplies, kitchen supplies, and small equipment, and repurchase when necessary.

Purchase food and other supplies for meetings, staff events, and organizational events as needed.

Coordinate incoming and outgoing deliveries (e.g., FedEx, UPS).

Manage other mail (e.g., USPS), including assisting the Accounting and Development departments with the receipt of checks.

Coordinate deliveries and service calls from various vendors.

Maintain organization and appearance of conference rooms.

Assist with coordination of offsite storage needs.
Qualifications
-
1–3 years of experience in facilities operations preferred, or relevant work experience.

Excellent verbal and written communication skills.

Ability to prioritize multiple functions and tasks while managing work time.

Experience with Google Docs, Microsoft Word, Excel, calendaring, and online communication tools (Slack, Zoom, etc.).

Experience creating and sustaining relationships with external and internal staff and clients.
