The Teaching and Learning Hub (TLH) at the GSB supports faculty instructional needs with the vision of building and maintaining the GSB’s reputation as a world-class institution for student learning. Within the TLH, the Experiential Course Support (ECS) team offers program management and course support for many leadership courses and learning experiences such as Startup Garage, Interpersonal Dynamics, Leadership Labs, and the Executive Challenge. In the role of Senior Program Assistant, you will provide administrative and operational support for these with limited supervision. You will report to the Director, ECS.
Please Note: This position is hybrid but requires regular, on-site work 4 days per week at the Stanford GSB campus.
Your primary responsibilities include:
- Act on behalf of the supervisor or department manager regarding establishing priorities and identifying and resolving problems that are administrative in nature.
- Oversee and/or perform duties associated with scheduling, organizing, and operating complex events, seminars/workshops, and advisor fairs including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing within budget.
- Compose and draft documents and correspondence for presentations, course handouts, workshops, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, reports, and/or websites.
- Co-manage course staffing.
- Plan and schedule calendar(s) with limited consultation, resolve calendar conflicts. This includes calendar management for courses and reserving rooms for courses and course-related activities.
- Create complex reports and spreadsheets which may utilize specialized software and systems.
- Maintain office supplies and equipment.
- Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies.
- Coordinate and monitor routine maintenance services completion.
- Maintain approved content on websites. Edit Canvas content throughout the quarter. Update Google Drive with current and past content (class slides, docs, etc.) for instructors to reference. Maintain student data for courses.
- May lead staff or supervise work of temporary workers, including reviewing work for quality and timeliness.
To be successful in this position, you will bring:
• High school diploma and four years of administrative experience, or combination of education and relevant experience.
• Ability to learn new technologies and programming tools quickly and train users of Advanced computer skills and demonstrated experience with office software and email applications.
• Demonstrated success in following through and completing projects.
• Excellent organizational skills and attention to detail.
• Strong verbal and written communication skills.
• Excellent customer service and interpersonal skills.
• Ability to prioritize, multi-task, and assign work to others.
