Artist Liaison, Stanford Live

With its primary home at Bing Concert Hall and a popular second venue at historic Frost Amphitheater, Stanford Live is simultaneously a public square, a sanctuary, and a lab, drawing on the breadth and depth of Stanford University to connect performance to the significant issues, ideas, and discoveries of our time.
Stanford Live maintains a busy presenting schedule with about 150 performances per year in music, dance, and theater. The main season takes place in alignment with Stanford’s academic calendar and runs from late September to early June. The Artist Liaison works primarily in Stanford Live’s office space in Littlefield Hall. Additionally on performance days, the Artist Liaison works in Bing Concert Hall or other Stanford venues.
The Artistic Liaison provides essential support to the full roster of international artists appearing with Stanford Live by advancing each show and fully owning the show details. You will work directly with the Stanford Live production team in executing all show details. Reporting to the Producer of Artistic Programs, the Artist Liaison will be responsible for both working onsite at certain events as well as managing and scheduling a pool of part-time contingent Artist Services Assistants to ensure excellent artist services are provided across all Stanford Live events.
In this role, you will:
- Advance all Stanford Live shows by communicating detailed schedule, logistical and show information to artist(s, their representative(s) and Stanford Live staff
- Staff performances as on-site Artist Liaison for some, especially high-touch events
- Manage and schedule a pool of part-time contingent Artist Services Assistants ensuring they are fully briefed to provide artist services at a high level
- Keep track of all Artist Services related expenses and regularly update departmental expense tracker
- Liaise with hotel partners to ensure Artist hotel reservations are accurate and up-to-date
- Prepare monthly report for key hotel partners providing Artist rooming lists to insure proper invoicing
- Organize and maintain artist services area of Bing Concert Hall and other Stanford Live venues
- Shop contract rider for Artist hospitality before each performance
- Liaise Artist guest ticket needs with Artist team and Stanford Live box office
- Arrange ground transportation for Artists when needed
- Provide administrative support to Stanford Live’s Artistic Department
- Utilize and/or maintain complex databases. May use specialized event planning software.
Please note that this position will be based on the Stanford campus and will be considered hybrid with the expectation to be on campus a minimum of three (3) days per week depending on events. Attendance in person for events and key planning meetings is expected. In addition, this position will require working in person on campus some evenings and weekends.

- Associate degree and three years of relevant experience or combination of education and relevant experience.

- Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.
Certifications and Licenses:
- Valid Non-Commercial Class California Driver’s License.
- Access to a personal car/vehicle is strongly preferred
PHYSICAL REQUIREMENTS:
- Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
- Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.
- Ability to obtain and maintain a California Non-commercial Class license and drive day or night.

The expected pay range for this position is $67,000 – $77,000 per annum.
