The Bechtel International Center in Student Affairs is Stanford’s hub for international students, scholars and families.

- Providing information about and assistance with obtaining and maintaining legal status in the U.S. to international students, scholars and Stanford departments.
- Advising Stanford students who are pursuing scholarships for study and research abroad.
- Enabling international students, scholars and their family members at Stanford to receive maximum academic, cultural and personal benefit from their stays in the U.S.
- Contributing to international activities at Stanford by helping to create a welcoming and supportive environment that is responsive to the needs of the international community.
- Providing opportunities for Stanford students, faculty, staff, and members of our local community to broaden their horizons by interacting with people from different cultures through programs to increase international awareness and understanding.
Bechtel is looking for a Program Coordinator to contribute to the center’s mission of nurturing international understanding by (1) managing and organizing student and scholar orientations; (2) designing and managing the logistical arrangements for organizing lectures, and outreach activities, (3) carrying out the communication strategy involving print and online media, and; (4) supervising student staff and volunteers and working with international student groups and community volunteer groups; (5) managing room reservations and funding approval for student groups; 6) provide administrative or operational support working under minimal supervision.
The Program Coordinator will complete the work assignments with minimal supervision, and have the ability to prioritize, organize, and complete tasks effectively and in a timely manner. The role requires flexibility, accountability, enthusiasm, and strong problem-solving skills. Occasional evening and weekend hours will be required.
CORE DUTIES*:

- Design, plan, implement, and coordinate customized events.
- Evaluate and select vendors and providers of services considering stakeholder requests and requirements.
- Serve as a member of an events team, and contribute in a wide variety of functional areas including decisions around budget allocation, event logistics and facilities.
- Consult with stakeholders to determine objectives and requirements.
- Inspect event facilities to ensure they conform to the event needs.
- Manage accounting operations relating to registration, including daily accounting procedures and reports, final monetary summaries, and/or account transfers.
- May serve as project leader on smaller scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger scale events.
- Utilize and/or maintain complex databases. May use specialized event planning software.
- May inspect event facilities for maintenance, janitorial and fire safety issues.
- Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
- Perform basic graphic design with limited scope/complexity. Develop a variety of communication pieces, fliers, and websites
- Draft and/or generate routine outreach communications
- Maintain approved content on websites.
- May guide and train student assistants and student group coordinators including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

MINIMUM REQUIREMENTS:
Education & Experience:
Bachelor’s Degree and three years of administrative experience, or combination of education and relevant experience.
Knowledge, Skills and Abilities:

- Proficient computer skills and demonstrated experience with office software and email applications. Demonstrated experience with web design software (such as Drupal), social media platforms (such as Instagram, Facebook, YouTube), and mass mailing software (such as MailChimp) is preferred.
- Demonstrated success in following through and completing routine tasks.
- Strong organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills. Demonstrated experience in communicating with different audiences (such as faculty, staff, students, the general public) is preferred.
- Ability to prioritize and multi-task.

The expected pay range for this position is $67,000 to $78,000 per annum/hour. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
