Starting Range: $20.63 - $21.42 hourly

General Description:
Provide coordination of services to a person with disabilities through administrative support functions for the Service Coordination team.
Essential Duties/Responsibilities:
- Provide excellent customer service through professional interactions and representation of TRE while following HIPAA and confidentiality policies with prompt responses to email and phone calls, engaging supervisors when needed for difficult situations, having a positive and encouraging attitude about the work of the organization.
- Exhibit strong written and interpersonal communication skills to promote clarity of intent with all levels of communication daily.
- Attend departmental and agency meetings and trainings in person, by phone, and/or through the use of technology (i.e. Outlook, Office 365, ZOOM, etc.) as specified by the meeting or training coordinator to maintain and improve your performance, knowledge, skills, and abilities to best support the people served by TRE weekly.
- Maintain knowledge of Developmental Disability Determination, to include answering questions and referring to appropriate decision-making authority, or Long-Term Care Medicaid eligibility, to include TRE’s billing methods.
- Maintain databases, such as BUS/CCMS/BILI, and assist with tracking and filing requirements for off-site filing and electronic filing systems for TRE applicants and participants or billing needs.
- Corresponds with external agencies to update applicant information and needs.
- Provide coverage for other positions within TRE as requested (after hours may apply on occasion).
Other Duties/Responsibilities:
- Completes Per-Member Per-Month (PMPM) activity according to CMS and DDD Rules and Regulations as appropriate.
- Remains knowledgeable and current of DDD Rules and Regulations, Program Quality Standards, expectations and best practices.
- Participate in professional opportunities (workshops, conferences, readings, etc.) based on personal professional development plan.
- Available during customary work hours is essential.
- Assist with special projects as requested.
- Perform driving duties as related to the position.
- Other duties as assigned.
Team Duties/Responsibilities
- The Intake Support Coordinator position generates and distributes application packets to work with TRE applicants to complete initial screening and BUS referrals to ensure applications received are complete, schedules intake completion meetings, to include functional eligibility (ULTC 100.2) assessments, explaining TRE services and waiver programs to ensure an appropriate fit for individuals, maintains and communicates information about all Medicaid waiver services, coordinates transfers to and from TRE waitlists and completes waiting list contacts and ensures State and Agency requirement data management systems, and send termination of services (803) notices according to regulation.
- The Benefits and Billing Support Coordinator position conducts detailed research using various State systems to complete job duties and manage trackers, provides notification to clients and providers of the Department of Human Services (DHS) yearly financial review to ensure TRE clients maintain financial eligibility for their HCBS wavier services, and reviews clients’ utilization of services to ensure management of services.
Job Qualifications:
Knowledge, Skills and Abilities:
Experience in an office environment including Microsoft Word processing, database management, intermediate to advance Microsoft Excel skills, punctuation, grammar, and spelling; letter and report composition, office practices and procedures, record-keeping systems, office machines and their uses. Professional demeanor, ability to prioritize and accomplish multiple tasks, and ability to proactively negotiate difficult situations with tact and diplomacy. Possession of excellent oral and written communication skills is essential. Creativity and critical thinking are a plus.
Education and Experience Requirements:
Minimum: Bachelor’s degree in a human behavioral science or related field of study. If an individual does not meet the educational requirement, considerations may be made if the individual has experience working with long-term services and supports (LTSS) population, in a private or public agency, or has a combination of LTSS experience and education, demonstrating a strong emphasis in a human behavioral science field.
Preferred: Working knowledge of Medicaid Waiver programs and requirements; experience working with persons with disabilities. Knowledge of and experience working with community resources and resource development. College level coursework in business administration, human services, or communications. Three (3) years of experience as an administrative assistant, document control, customer relations, or community contact position.
Material and Equipment Directly Used: Computers/tablets, Printers, Copy Machines, Personal Vehicle, Cell phones/telephone, Cloud based systems and software, etc.
Working Environment/Physical Activities: Office, community, private residences, commercial properties, and virtual environment settings. Moderate physical activity required, such as walking, sitting, standing, and lifting up to 20 pounds. (ADA accommodations at the request of the employee.) A working vehicle, valid CO driver’s license (unless active Military family), and auto insurance coverage with bodily injury and property damage liability coverage is required. ($100,000/$300,000/$100,000 coverage recommended)
