McMillan has an exciting opportunity, seeking a National Coordinator to join the national Innovation & Strategic Operations team. As generative AI and other technologies reshape how legal and operational work is performed, the Innovation & Strategic Operations team is at the heart of enabling this transformation – empowering the firm to adopt innovative technologies, optimize and reimagine processes, and leveraging data to drive strategic decisions. The Coordinator will play a vital role in advancing these initiatives and supporting day-to-day departmental operations. Their adaptability and strong organization skills will complement their drive to enable change, drive process improvement and contribute to strategic initiatives.
Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the Toronto office for the balance. Your hybrid schedule will start once you join McMillan!
What You’ll Do
As a member of the Innovation and Strategic Operations department, responsibilities of the Coordinator include:
- Organize meetings and workshops, including scheduling, curating agendas, preparing initial presentations, coordinating national or cross-office logistics and assembling pre-read materials.
- Collate and prepare updates to presentations and reports for meetings, workshops, training sessions, briefings and written communications.
- Track and report on project progress to ensure milestones and deliverables remain on track.
- Administer financial processes, including tracking expenditures, processing and reconciling spend, administering expense reimbursement, and preparing budget documentation.
- Own the organization and maintenance of team documentation, project files and records.
- Collect, organize and synthesize incoming data to support decision-making through metrics and insights, including managing queries, questionnaires and follow-ups.
- Collaborate cross-functionally with multidisciplinary teams to advance initiatives and deliverables.
- Create polished, visually engaging content and materials aligned with McMillan brand standards.
- Proactively identify and contribute to process improvements that leverage AI, automation, and innovative solutions to enhance team performance.
- Contribute to ad hoc projects and emerging departmental priorities as needed.
What You’ll Bring
- Degree or diploma in Business Administration, Project Management, or a related field is preferred.
- Minimum of 3-5 years of administrative and coordinative experience in a client-centric, fast-paced and professional work environment.
- Excellent organizational and time management skills, with proven ability to maintain accurate documentation systems and manage multiple workflows simultaneously.
- Strong aptitude for utilizing technology with a data-driven, innovative mindset; familiarity with or willingness to experiment with generative AI tools and emerging technologies preferred, with curiosity to test, validate, and apply them to enhance workflows and deliverables.
- Proactive, creative, solutions-oriented and flexible team player, with a collaborative approach to working in teams, comfort handling ad-hoc requests, shifting priorities, and contributing to process improvement and problem-solving.
- Strong understanding of financial processes, expense tracking and reporting.
- Proficiency in Office 365 suite, with demonstrated intermediate or advanced Excel skills for data tracking and analysis, and strong proficiency in Word and PowerPoint.
- Experience coordinating meetings, events, and cross-functional logistics, including stakeholder engagement for virtual and in-person sessions.
- Experience supporting project tracking, developing written communications, creating presentations, and drafting internal content, all with a strong eye for detail.
- Ability to create polished, professional materials that adhere to brand standards and visual presentation guidelines.
- Strong interpersonal and verbal and written communication skills.
- Ability to handle sensitive information with confidentiality, tact and sound judgement.

Salary range: $52,000 - $57,000 annually
