We are currently in search of an Office Manager for a Nonprofit Legal Organization. The position is based in Chicago, IL (In The Loop). This is a Full Time, Hybrid, Permanent position.

POSITION TITLE: Office Manager
SCHEDULE: Full Time (40 hrs./wk.), Monday-Thursday (In Office), Friday (Remote)
SALARY: $60,000-65,000/yr. (plus an excellent benefits package)
Is This Your Dream Job? The Office Manager will be responsible for office management, payroll, paying bills, recording donations in the accounting database, managing employee benefits, administrative support, and maintaining the physical office space and equipment. The Office Manager also provides support to the Director of Legal Services and the Development Director.
Our Ideal Candidate:
- Associate's degree or administrative professional's certification required
- Experience working in a similar role at a small business preferred
- Experience using Salesforce preferred
- Comfort in learning new technology data management programs, software, and processes
- Experience creating and maintaining personnel files
- Excellent communication skills including clear speaking, concise writing, and careful listener
- Shows initiative, is good at issue-spotting and has strong troubleshooting skills and a results-oriented approach to problems
- Well-organized and attentive to detail
How You Will Spend Your Day:
Bookkeeping
- Manages payroll process, including processing employee timesheets
- Processes accounts payable and receivable and all related records
- Assists Finance Manager with pulling files for annual audit
- Reconciles donations in Salesforce & QuickBooks
Human Resources
- Coordinates outside health and benefits coverage
- Administers pre-tax transportation benefits
- Maintains personnel files and health insurance and retirement plan records
- Tracks paid leave and maintains paid leave records
- Submits insurance audits for healthcare, workers' compensation, professional liability, and other insurance coverage
- Provides administrative support in the hiring process
- Arranges for background checks of new employees as needed
Administrative Support
- Coordinates maintenance needs of the office
- Orders office supplies and furniture
- Organizes and maintains the general files of the office, including accounts payable, accounts receivable, vendor, personnel, and donor files
- Maintains board and staff contact lists
- Manages daily mail and postage meter
- Assists Executive Director in preparation of board materials
- Attends board meetings and takes minutes
- Assists the Director of Legal Services with staff performance review data
- Coordinates on-site meetings, including room preparation, catering, and meeting materials

Assists with annual mailingsand event preparation
- Front-of-office greeting over the phone and for in-office visitors
- Document retention and destruction
- Performs any other tasks needed for smooth operations of the physical office, remote locations, and the program in general
Office Equipment
- Arranges for office equipment maintenance and supplies
- Provides workstation and equipment support to staff
