TITLE: Executive Assistant for Institutional Advancement
STATUS: Full-Time/Permanent

SALARY: $55,000-$60,000
Is This Your Dream Job? Our DC nonprofit client is seeking an Executive Assistant to join their team as a full-time employee! This dynamic organization is guided by Jewish values and heritage and engages its community through theater, arts, culture, youth &family programming, opportunities for social justice, volunteer work, connections for Jews of Color, young professionals, and the LGBTQ+ communities. The Executive Assistant for Institutional Advancement reports to the Senior Director of Institutional Advancement and provides support to the CEO, the Executive Team and the Board of Directors, and will also serve as an important member of the Institutional Advancement team.

This is a full-time position with the opportunity to work remotely twice a week. Working hours are 9:00 AM – 5:00 PM Monday through Thursday, and 9:00 AM – 4:00 PM on Fridays. Requires occasional in-person work on evenings and weekends.
Our Ideal Candidate:
- 3+ years of professional work experience, preferably in fundraising or administration at a non-profit. Experience using non-profit fundraising databases. Salesforce experience preferred.
- Demonstrated ability to communicate effectively both written and verbally.
- Excellent organization, prioritization, and time management skills; must be detailed oriented, diligent with follow-up, and able to deliver results on multiple priorities simultaneously.
- Ability to work with diverse constituents internal to the organization and across the community.
- Trustworthy with sensitive, confidential information.
- Take initiative to begin and complete projects independently but also appreciate a highly collaborative work environment.
- Ability and willingness to work evenings and weekends (including monthly evening Board meetings).
- Ability to adapt quickly and willing to take on other tasks as assigned.
How You Will Spend Your Day:
CEO Support
- Provide executive support to the CEO, including managing calendar and correspondence, scheduling calls and meetings, and ensuring appropriate follow-up.
- Ensure the CEO is prepared for upcoming meetings and appointments by assembling necessary materials in coordination with appropriate staff/departments.
- Manage CEO’s Salesforce presence, including, but not limited to, tracking all CEO input into Salesforce (tasks, follow-up, meetings, notes) and managing the CEO’s daily tasks in Salesforce.
- Assist with special projects as they arise.
Board Support
- Coordinate and schedule Board and Board committee meetings, including the preparation and distribution of meeting agendas, materials, and minutes.
- Ensure accurate and organized record-keeping of Board-related documents, resolutions, and policies.
- Maintain an up-to-date roster of Board members, including contact information, terms, and committee assignments.
- Communicate with Board and Advisory Board members to ensure biographic and contact information is up to date.
- Assist with special projects as they arise.
Development Responsibilities
- Support donor and VIP events, as needed, including Board meetings, cultivation dinners, etc.
- Pitch in with ad hoc tasks for the development team as needed (e.g., printing and mailing appeals and proposals).
- Assist the Development team with donor outreach to the board, donors, and broader communities (drafting language, sending mail merges, preparing handwritten notes, etc.)
- Assist with special projects as they arise.
