This role is critical in ensuring a high degree of C-suite administrative and operational support predominantly to the Chief of People & Culture and at times, wider Executive Leadership Team and plays an important part in project coordination and communication across multiple stakeholders both internally and externally.
The Executive Assistant will thrive under pressure, manage a wide variety of tasks with an agile approach and maintain confidential matters with discretion.
Your main duties and responsibilities will include:
- Maintain the Executive’s calendar - planning and scheduling meetings, conferences, teleconferences, and travel schedules.
- Monitor the Executive’s emails and routing correspondence.
- Stakeholder meetings – Plan and manage schedules, agendas, action items, presentations, priority timelines and disseminate information to team for upcoming P&C and ELT meetings.
- Work alongside Company Secretary and Board Assistant, managing the end-to-end logistics to complete board papers required by the Chief People & Culture and wider department by set due dates.
- Drafting agendas and minutes, follow up actions, organise off sites - create content and presentations.
- Support People & Culture Lead team in the development of the P&C Plan and maintain agile project approach to delivery and execution.
- Assist the Executive in managing their Budget and cost centre, approvals and acquittals.
Who we’re looking for
We are looking for someone who has proven capability to work positively and effectively as part of a collaborative work team, to accommodate and work well with different working styles and to work independently where required.
Your skills and experience will include:
- 5+ years’ C-Suite Executive Assistant experience within a medium to large organisation
- Experience working in a People & Culture (Human Resources) department will be highly regarded
- Demonstrated communication and interpersonal skills with the ability to produce clear and accurate communications
- Demonstrated ability to organise, schedule and plan, and to meet rigid and conflicting demands and deadlines, along with the ability to adapt to changed priorities
- Experience in dealing with confidential material and sensitive matters
- Managing multiple projects to tight timelines
- Year 12 and/or vocational training relevant to a professional administrative role
- Cert IV or equivalent in Business Administration
- Microsoft Office Suite with advanced skills in Word, Excel, PowerPoint, MS Project, Outlook, Evernote, Yammer, Dropbox
