Stanford Medicine WellMD & WellPhD seeks an experienced and organized Program Manager (Administrative Services Administrator 1) to help facilitate the development and implementation of programs, resources, and projects to advance well-being in clinical faculty, fellows, residents, and basic science faculty.

Stanford Medicine WellMD & WellPhD was created in late 2015 and is jointly funded by the School of Medicine, Stanford Health Care and Stanford Children's Health. Home of the first Chief Wellness Officer at a U.S. academic medical center, WellMD & WellPhD is an innovative and internationally-recognized center. About the role:
This Program Manager, reporting to the Director of Programs and Education, will work alongside expert Stanford faculty and WellMD & WellPhD colleagues to enhance existing programs, create and implement new programs and resources, collaborate with teams across Stanford Medicine, and support task forces commissioned to tackle organization-wide challenges. The Program Manager helps shape programmatic offerings, provides comprehensive project management and operational support, manages recruitment, and evaluates impact to enable continuous improvement. Examples of programs include commensality groups to increase collegiality and community, a concierge service to improve work-life integration, care and support programs for those in distress, storytelling programs about the authentic experience of being a physician to increase community and vulnerability, and professional coaching to enhance work-life integration and self-valuation.
This is an exciting opportunity to be directly involved in improving the culture of wellness, efficiency of practice, and personal resilience for our physicians and biomedical scientists. This complex position requires a high level of planning, communication, judgment, influence, initiative, and follow-through. Based on the role’s responsibilities, this is a hybrid position with a target of at least 2 days per week on Stanford campus.

Specific duties include:
- Manage a portfolio of program offerings for physicians and scientists.
- Responsible for providing project management and operational support to successfully execute programs, including managing timelines and coordinating logistics to support successful programs.
- Develop and implement communication plans for target audiences in partnership with our Communication team.
- Collaborate with other Stanford Medicine teams that provide programs with significant benefit to physician and scientist well-being and support joint program offerings
- In partnership with faculty and colleagues, contribute to the design and manage the implementation of new programs identified as gaps in the current portfolio.
- Implement programs designed by our Center to support physician and scientist well-being in response to crises impacting Stanford Medicine and our community (e.g. pandemics, fires), so our people are supported as individuals and better able to continue with their critical work.
- Identifying potential risks to program success and developing strategies to mitigate these risks.
- Understand and be the Center’s internal expert on key benefits and offerings for faculty, fellow, and resident that are managed by other areas of Stanford Medicine and support well-being. Liase with human resource departments at Stanford University, School of Medicine, Stanford Healthcare, and Stanford Children’s Hospital and other key centers.
- Support task forces commissioned by WellMD & WellPhD, the resulting recommendations, and ongoing implementation efforts, when appropriate (e.g. Lactation Support Task Force).
- Support the scaling of programs at Stanford Medicine that have been piloted and determined effective.
- Assess efficacy and impact of programs and recommend opportunities for improvement.
- Communicate professionally with faculty leaders and program participants in a manner consistent with WellMD & WellPhD’s mission and communication style.
- Partner with WellMD & WellPhD’s Communication team on the promotion and logistics of programs.
- Contract with and oversee vendors, when applicable.
- Consult with Director of Programs and Education on high-level plans and practices to be consistent with the strategy, priorities, and norms of WellMD & WellPhD.

DESIRED QUALIFICATIONS:
- Five years of experience 1) working on programs for physicians or scientists and/or 2) overseeing administrative programs at an academic medical center.
- Successful track record of:
- launching innovative programs or enhancing existing programs
- developing systems and infrastructure to support programs or projects
- managing program budgets and meeting budget goals
- collecting and analyzing data and creating reports to inform team of program results
- reviewing trends and formulating and evaluating opportunities for improvement to achieve or exceed goals of program
- Experience in physician and scientist well-being or interest in developing expertise.
- Understanding of program evaluation, including outcomes measurement methodology, translating data into actionable insights, and proposing next steps based on evaluation data.
- Entrepreneurial and innovative mindset; comfort with change, ambiguity, and iterative experimentation in a fast-paced environment.
- A high degree of social facility in partnering with and supporting a broad range of faculty and staff at all levels both within and outside the institution.
- Ability to manage multiple tasks and re-establish priorities as necessary.
- A demonstrated ability to be a self-starter with the ability to excel in a fast paced and deadline-oriented environment.
- Must be a team player and willing to take on additional challenges if needed.
- Exceptional judgment and discretion in interacting with constituencies (internal and external) on sensitive and confidential issues.
- Experience working with hybrid teams.
- Experience with the following software/technology platforms: Zoom videoconferencing, Smartsheet, Slack.
- Experience in project management software.
EDUCATION & EXPERIENCE (REQUIRED):
Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.

The expected pay range for this position is $99,015.00 - $126,383.00 per annum.
