The Executive Assistant is responsible for providing timely high-level and day-to-day administrative support to the Executive Director. The Executive Assistant manages and fulfills a range of crucial duties with the primary goal of assisting the work of the Executive Director and providing additional support to the leadership team, the Board of Directors and all staff, as directed, to ensure that Adelante Mujeres' goals and objectives are accomplished and that operations run efficiently. The Executive Assistant serves as a primary point of contact for matters pertaining to the Executive Director and supports a mission-driven, community-centered and culturally responsive organization. The Executive Assistant supervises the Administrative Receptionist and reports to the Executive Director.
RESPONSIBILITIES:
- Fulfill a broad variety of administrative tasks for the Executive Director including managing an active calendar, handling logistics for meetings and visitors, drafting agendas, compiling documents, taking notes, and arranging travel
- Supervise paid and unpaid administrative support, including Adelante's Admin Receptionist
- Support the function of the leadership team including meeting logistics, minutes and meeting summaries, draft of weekly agendas and maintenance of files
- Manage information flow in a timely and accurate manner and draft correspondence as requested
- Support the operations of the Board of Directors, including communications, calendaring, meeting materials, logistics and maintenance of pertinent documents
- Lead the coordination and logistics of all staff meetings and trainings
- Provide support to the Executive Director on assigned projects
QUALIFICATIONS:

- A passionate commitment to the goals and mission of Adelante Mujeres and support for immigrant and BIPOC communities
- 4 years administrative experience preferably in a non-profit organization reporting directly to upper management
- 2 years supervisory experience
- Bachelor's Degree or comparable experience
- Excellent bilingual English/Spanish written and verbal communication
- Committed to professionalism, discretion and strict confidentiality
- Experience in developing internal processes and planning and coordinating meetings and events
- Ability to work and communicate across all levels of the organization
- Highly proficient in Microsoft Office Suite, Adobe Acrobat, and Social Media web platforms
- Committed to education, social justice, women's empowerment and the environment
Additional Requirements:
- Complete Criminal Background Registry enrollment letter for facility number CC503161
- Possess current driver's license and auto insurance coverage
- Ability to travel out of town to attend workshops or trainings
SALARY & BENEFITS:
- Salary range: $62,000 - $66,000K annually, depending on qualifications
- Classification: Full-time, exempt
- Telework: up to 2 days a week when duties allow
